Track Member Progress
The Skills Maintenance progress views give you a complete picture of where each member stands. You can sign off skills manually, view individual member progress, and remove incorrect completions.
Prerequisites
Section titled “Prerequisites”- Brigade admin, organisation admin, or a user with the Skills Maintenance view permission
- At least one active skills plan with enrolled members
The progress matrix
Section titled “The progress matrix”The progress matrix shows every enrolled member against every active skill in a plan — giving you a full grid view of completion status at a glance.
- Navigate to Training → Skills Maintenance Progress in the main navigation
- If you have multiple active plans, use the plan selector at the top right to switch between them
- The matrix shows:
- Members listed down the left column
- Skills across the top, grouped by topic (colour-coded by topic colour)
- Green ✓ — skill completed for this member in the current cycle
- Empty circle — not yet completed
The header row also shows the plan deadline and days remaining (shown in red when fewer than 30 days remain).
Sign off a skill manually
Section titled “Sign off a skill manually”- Open the progress matrix
- Find the cell where the member’s row meets the skill’s column
- Click the empty circle to open the sign-off form
- Complete the form:
- Completed on — defaults to today; change to the actual date of completion
- Assessor — select the member who observed the skill from the list, or choose “Other” and type a name
- Assessor name — free-text field if the assessor is not a StationOne member
- Notes — optional context (e.g. scenario description, conditions)
- Click Mark complete
The cell turns green immediately and the completion is recorded in the current cycle.
View a member’s individual progress
Section titled “View a member’s individual progress”From the progress matrix, click any member’s name to open their individual progress page.
The individual progress page shows:
- Each enrolled plan with a progress percentage and progress bar
- Skills grouped by topic, with a ✓ next to completed items
- Completion details on each signed-off skill:
- Date completed
- Assessor name
- Training session (if auto-completed via attendance)
This view is also available to the member themselves via the My Skills Progress link in their training area, and — if enabled — on the Station Portal.
Remove a completion
Section titled “Remove a completion”If a completion was recorded in error:
- Open the progress matrix
- Find the green ✓ for the relevant member and skill
- Hover over the ✓ — a tooltip shows when the skill was completed and by whom
- Click the green ✓ to open the delete confirmation
- Confirm deletion
The completion is removed and the cell returns to an empty circle. The member can be re-signed-off at any time.
Understanding cycles
Section titled “Understanding cycles”Completions are scoped to the current cycle — the active tracking period. When a plan rolls over:
- A new cycle is created automatically
- All completion cells reset to empty
- Previous cycle completions are archived (not deleted) and visible in the member’s history
If a plan is not set to roll over, the cycle remains open until you manually archive or delete the plan.
Auto-completed skills
Section titled “Auto-completed skills”Skills linked to training sessions are auto-completed when a member is marked as attended. These completions appear identically to manual sign-offs in the progress matrix, but the individual progress view shows the source training session.
See Link Skills to Training Sessions for how to set this up.
Staying on top of the deadline
Section titled “Staying on top of the deadline”The progress matrix shows days remaining in red when fewer than 30 days remain. Check the matrix regularly as the deadline approaches and follow up with members who have gaps.
Bulk sign-off for group sessions
Section titled “Bulk sign-off for group sessions”For skills assessed during a group session where all participants completed the same skill, use the Link Skills to Training Sessions approach: create the training session, link the relevant skills, then mark all participants as attended. This creates completions for every enrolled attendee in one step.
Skills inactive vs. not completed
Section titled “Skills inactive vs. not completed”- An empty circle means the skill is in the current cycle and the member has not completed it yet
- Inactive skills (struck through in the plan) are hidden from the progress matrix — they don’t count toward completion and can’t be signed off
