Add Equipment

This guide walks you through adding equipment to StationOne for tracking and inspection.

  • Brigade admin or organisation admin role
  • Equipment details (name, serial number, etc.)
  • Optional: Vehicle if equipment is vehicle-mounted
  1. Log in to StationOne
  2. Select your organisation and unit
  3. Click Equipment in navigation
  4. Click New Equipment button

Fill in the equipment information:

Name (required)

  • Clear, descriptive name
  • Include type and model if applicable
  • Examples:
    • “Hydraulic Rescue Tool Set”
    • “Thermal Imaging Camera - Model X100”
    • “BA Set #12”
    • “First Aid Kit - Station 1”

Serial Number (optional)

  • Manufacturer serial number
  • Asset tag number
  • Unique identifier
  • Useful for warranty and tracking

Equipment Category (optional)

  • Type classification
  • Examples: Safety gear, Tools, Rescue equipment, Breathing apparatus, Communication, Medical
  • Affects template filtering
  • See Equipment Categories below

Vehicle (optional)

  • Select vehicle if equipment is mounted
  • Leave blank for standalone equipment
  • Equipment location tracks with vehicle

Location (optional)

  • Storage location for standalone equipment
  • Station or depot
  • Not needed if assigned to vehicle

Active (checkbox)

  • Check if equipment is in use
  • Uncheck to mark inactive
  • Inactive equipment hidden from lists

Click Create Equipment to save the record.

You’ll be redirected to the equipment detail page.

Equipment not assigned to a vehicle:

Characteristics:

  • Independent inventory item
  • Stored at specific location
  • Separate inspection schedules
  • Can be moved between locations

Examples:

  • Station first aid kit
  • Portable generators
  • Ground ladders
  • Workshop tools
  • Training equipment

Equipment assigned to a vehicle:

Characteristics:

  • Associated via vehicle_id
  • Inspected with vehicle (optional)
  • Location tracks with vehicle
  • Removed if vehicle is removed

Examples:

  • Vehicle-mounted rescue tools
  • Onboard BA sets
  • Vehicle fire extinguisher
  • Mounted communication equipment
  • Vehicle-specific tools

Use categories to organize and filter equipment:

  • Safety Gear: PPE, helmets, gloves, boots
  • Tools: Hand tools, power tools
  • Rescue Equipment: Ropes, harnesses, cutting tools
  • Breathing Apparatus: BA sets, cylinders, masks
  • Communication: Radios, pagers, repeaters
  • Medical: First aid, AED, oxygen
  • Hoses: Fire hoses (use Hose Management module instead)
  • Pumps: Portable pumps, foam equipment

If your organization uses custom categories:

  1. Contact organisation admin
  2. Request new equipment category
  3. Admins can configure at organisation level

Configure inspection schedules and templates:

  • Select appropriate template
  • Set inspection frequency

View, edit, and organize equipment:

  • See Manage Equipment for complete guide
  • View equipment lists
  • Filter by category or vehicle
  • Update equipment details

Use consistent naming:

  • Include equipment type
  • Add model or identifier
  • Include location or assignment if relevant
  • Keep names searchable

Examples:

  • Good: “BA Set #5 - Station 1”
  • Good: “Hydraulic Spreader - Rescue 2”
  • Avoid: “Tools”
  • Avoid: “Equipment 1”

Always record serial numbers for:

  • Warranty claims
  • Theft recovery
  • Asset tracking
  • Manufacturer recalls
  • Maintenance records

Categorize consistently:

  • Use same categories across organization
  • Match template categories
  • Standardize for reporting

Assign to vehicles when:

  • Equipment permanently mounted
  • Equipment dedicated to vehicle
  • Want to inspect with vehicle

Keep standalone when:

  • Equipment moves between vehicles
  • Stored at station
  • Shared across fleet

If creation fails:

  • Verify you have admin role
  • Check required fields filled
  • Ensure in correct unit context
  • Contact organisation admin

If no templates appear for equipment:

  • Verify templates exist for equipment
  • Check template equipment category matches
  • Ensure template is active
  • Contact admin to create template

If can’t assign to vehicle:

  • Verify vehicle exists in unit
  • Check vehicle is active
  • Ensure permissions correct
  • Try refreshing vehicle list
