Member Inductions
This guide explains how to set up induction templates and use them to onboard new members with a tracked, step-by-step induction plan.
Overview
Section titled “Overview”Member Inductions let a brigade define a reusable checklist of onboarding steps (e.g. “Issue station access fob”, “Complete PPE fitting”, “Assign mentor”). Each step can have a default assignee. When a new member is added with the induction opt-in checked, StationOne creates an induction plan for that member with one task per step. Assignees are emailed a one-click link to mark their task complete, and admins can track progress until the plan is finished — at which point brigade admins are notified.
Prerequisites
Section titled “Prerequisites”- Brigade admin, organisation admin, or higher role
- At least one induction template created and activated for the unit
Setting Up an Induction Template
Section titled “Setting Up an Induction Template”1. Navigate to Induction Settings
Section titled “1. Navigate to Induction Settings”- Log in to StationOne
- Go to Brigade Settings
- Open the Induction tab
2. Create a Template
Section titled “2. Create a Template”- Click New Template
- Enter a Template Name (e.g. “Standard Member Induction”)
- Enter an optional Description
- Click Create Template
3. Add Steps
Section titled “3. Add Steps”On the template page:
- Under Add Step, enter a Step Title (e.g. “Issue station access fob”)
- Optionally set a Default Assignee — the person who will be emailed the task whenever this template is used
- Optionally add Notes with additional instructions
- Click Add Step
Repeat for each step in your induction process. Steps are numbered in the order they’re added. You can edit a step’s title, notes, or default assignee at any time, or remove a step, from the template page.
4. Activate the Template
Section titled “4. Activate the Template”A unit can only have one active template at a time. Click Activate on the template you want to use.
- Activating a template automatically deactivates any other active template for the unit
- Only an active template drives the induction opt-in when adding new members
- A template that already has induction plans attached to it cannot be deleted (deactivate it instead)
Starting an Induction for a New Member
Section titled “Starting an Induction for a New Member”Once a unit has an active template, adding a new member shows an induction opt-in:
- Go to Members → New Member
- Fill in the member’s details as usual
- Under Start Induction Plan, check the box to begin the active template’s induction workflow
- Click Create Member
When checked, StationOne:
- Creates an induction plan for the new member, with one task per template step
- Emails the new member a welcome message summarising their induction plan
- Emails each step’s assignee a task notification with a one-click completion link (only if the assignee has an email address)
If plan creation fails for some reason, the member is still created — check the flash message for details and start the induction manually if needed.
Tracking Induction Progress
Section titled “Tracking Induction Progress”All Induction Plans
Section titled “All Induction Plans”Go to Brigade Settings → Induction → View All Induction Plans to see every induction plan for the unit, its progress bar, and status (In Progress / Complete).
A Single Member’s Induction
Section titled “A Single Member’s Induction”Open a member’s profile — if they have an induction plan, an Induction tab appears showing the progress bar and the full task list, including who each task is assigned to and when completed tasks were finished.
Click View Full Plan for the detailed plan page, which also shows who started the plan and when.
Marking Tasks Complete
Section titled “Marking Tasks Complete”Tasks can be completed two ways:
- By the assignee, via email: the task-assigned email contains a one-click link (
/induction/tasks/:token) that requires no login. The link expires 90 days after the plan starts and is single-use — it’s cleared once the task is completed. - By an admin, in the app: on the plan page or the member’s profile, click Mark Complete next to any pending task. Only users who can manage that unit’s induction plans (brigade admin and above) see this option.
When every task on a plan is completed, the plan’s status changes to Complete and brigade/organisation admins are emailed a completion notice.
Public Brigade Portal
Section titled “Public Brigade Portal”New members without platform access to the brigade’s public portal can view “My Induction” progress from the public brigade page (via the brigade’s public token link), showing their induction plan(s) and completion status without needing to log in.
Notifications
Section titled “Notifications”Induction emails use the Membership notification preference category:

Recipients who have disabled Membership notifications in their profile won’t receive these emails. See User Profiles for notification preference settings.
Common Issues
Section titled “Common Issues”No Induction Opt-In Appears on New Member Form
Section titled “No Induction Opt-In Appears on New Member Form”- Confirm an induction template exists and is marked Active in Brigade Settings → Induction
- The opt-in only appears when the unit context is known at the time of adding the member
Assignee Didn’t Receive Task Email
Section titled “Assignee Didn’t Receive Task Email”- Confirm the step has a Default Assignee with an email address set
- Check the assignee hasn’t disabled Membership notifications in their profile
- Check spam/junk folders
Completion Link Says Expired or Already Used
Section titled “Completion Link Says Expired or Already Used”- Completion links expire 90 days after the plan was created, and are cleared once used
- An admin can mark the task complete manually from the plan page instead
Can’t Delete a Template
Section titled “Can’t Delete a Template”- Templates with existing induction plans can’t be deleted — deactivate the template instead to stop it being used for new members
