Member & Vehicle Availability for Crew Builder
Crew Builder has its own Member Availability and Vehicle Availability grids — cross-unit views built for picking crew across an organisation’s hierarchy, distinct from the brigade-scoped Crew Availability Grid under the main Availability section. This guide covers both, and how they feed into assigning crew on a deployment.
Prerequisites
Section titled “Prerequisites”- Organisation admin, region admin, district admin, or group admin role (Crew Builder’s broader tooling, including these two grids, isn’t available to brigade admins)
- The Availability module enabled for the relevant units — without it, these pages either show no data or aren’t reachable, and the crew-assignment picker simply won’t show availability badges
Member Availability
Section titled “Member Availability”Navigate
Section titled “Navigate”- Click Crew Builder in the main navigation
- Click Member Availability
Reading the Grid
Section titled “Reading the Grid”The grid lists every member in scope as a row, with the current week’s dates as columns. Each cell shows that member’s availability status as a coloured pill (or Not Set if they haven’t recorded one), using your organisation’s configured availability type colours and labels.
Use ← Previous Week / Next Week → to move between weeks.
Filters
Section titled “Filters”- Unit — narrow to one unit
- Qualifications — only members holding the selected qualification(s)
- Endorsements — only members holding the selected endorsement(s)
- Hour — for units on hourly availability granularity only (see below); doesn’t affect units using the simpler day/night model
Edit a Member’s Availability
Section titled “Edit a Member’s Availability”Click a cell to open a dropdown of your organisation’s availability types. Selecting one saves immediately.
Vehicle Availability
Section titled “Vehicle Availability”Navigate
Section titled “Navigate”- Click Crew Builder in the main navigation
- Click Vehicle Availability
Reading the Grid
Section titled “Reading the Grid”Read-only weekly grid, one row per vehicle, showing a computed status per day:
| Status | Meaning |
|---|---|
| Available | In service and free |
| Booked | Has a brigade booking that day |
| Unavailable | Excluded from crew builder — the vehicle’s Available for deployments setting is off |
| On Loan | Currently loaned to another unit |
| Out of Service | Flagged out of service for maintenance/repair |
| Decommissioned | No longer in the active fleet |

How This Feeds the Crew Picker
Section titled “How This Feeds the Crew Picker”When you open the Assign picker for a crew seat on a deployment, each candidate is shown with an availability badge computed the same way as the Member Availability grid, for the deployment’s departure date and shift. Candidates are split into:
- Available — meets the deployment’s availability requirement
- Show N unavailable / not set (override) — everyone else who’s still eligible for the seat. Members on their unit’s local response crew for the period appear here, labelled Local response crew; you can still assign them, but their unit’s crew will be flagged and the unit notified. See Pre-Plan Standby Crews.
Assignment is never blocked by availability — the split and badges are there to help you choose, not to gate the action. See Build Vehicles & Assign Crew.
A deployment can narrow which availability types count as “Available” for its own picker — see Availability Types That Count for This Deployment in Create and Manage Deployments.
Hourly vs. Period Availability
Section titled “Hourly vs. Period Availability”By default, a unit records availability per day/night period. A unit can instead be switched to hourly granularity, where members paint their availability hour-by-hour. In hourly mode:
- The Member Availability grid’s Hour filter selects which hour’s status is shown in each cell
- A deployment’s crew picker only badges a candidate “Available” if every hour of the deployment’s departure-to-return window is covered by an available status — a single missing or unavailable hour anywhere in the window is enough to badge them “Unavailable” instead
A unit’s granularity is a brigade-settings option, independent of whether the Availability module itself is enabled.
Common Issues
Section titled “Common Issues”The “Hour” filter has no visible effect
Section titled “The “Hour” filter has no visible effect”It only affects units using hourly availability granularity. For a unit on the standard day/night model, the filter is ignored.
Nobody shows up as “Available” for a long deployment
Section titled “Nobody shows up as “Available” for a long deployment”Check the deployment’s departure and return times — in hourly mode, a candidate needs every hour across the whole window marked available, not just the start. A gap anywhere (even a lunch break marked unavailable) will badge them unavailable.
The grids show no data / aren’t in the navigation
Section titled “The grids show no data / aren’t in the navigation”The Availability module isn’t enabled for the unit. Ask your organisation admin to enable it — see Feature Modules.
