Add Member Qualifications
This guide explains how to add qualifications to member profiles for tracking certifications, training, and skills.
Prerequisites
Section titled “Prerequisites”- Brigade admin or higher role
- Access to member profiles
- Qualifications configured in your organisation
What are Qualifications?
Section titled “What are Qualifications?”Qualifications represent formal certifications, training courses, or skills that members have completed. Examples include:
- BA Wearer
- First Aid Certificate
- Chain Saw Operator
- Crew Leader
- Driver Training Level 1
- Hazmat Awareness
- Vertical Rescue
Qualifications are different from endorsements - they represent formal training rather than operational authorisation.
1. Navigate to Member Profile
Section titled “1. Navigate to Member Profile”- Log in to StationOne
- Select your organisation and unit
- Click Members in navigation
- Find and click on the member’s name
2. Locate the Qualifications Section
Section titled “2. Locate the Qualifications Section”On the member profile page:
- Scroll to the Qualifications card
- The card displays current qualifications with dates
- Click the + (plus) icon in the top-right corner
3. Select Qualification
Section titled “3. Select Qualification”In the “Add Qualification” modal:

Qualification: Select from the dropdown
- Shows available qualifications for your organisation
- Only qualifications not already awarded appear
- If none appear, member may have all available qualifications

Date Awarded: Choose the completion date
- Defaults to today’s date
- Set to actual course completion date
- Used for tracking qualification currency

Notes (optional): Add relevant details
- Training provider
- Certificate number
- Expiry information
- Renewal requirements
- Special conditions
4. Save the Qualification
Section titled “4. Save the Qualification”Click Add Qualification to save.
The qualification appears immediately in the member’s profile.
Understanding Qualification Display
Section titled “Understanding Qualification Display”Active Qualifications
Section titled “Active Qualifications”Qualifications appear as green cards showing:
- Qualification name
- Date awarded
- Notes (if provided)
- Awarded by (admin who added it)
Qualification Order
Section titled “Qualification Order”Qualifications display in reverse chronological order (newest first).
Managing Qualifications
Section titled “Managing Qualifications”Editing Qualifications
Section titled “Editing Qualifications”Currently, qualifications cannot be edited after creation. To correct a qualification:
- Remove the incorrect qualification
- Add a new one with correct information
Removing Qualifications
Section titled “Removing Qualifications”If a member loses a qualification or it was added in error:
- Find the qualification in the member’s profile
- Click the trash/delete icon
- Confirm the removal
Note: Only admins who manage the member’s unit can remove qualifications.
Common Qualification Workflows
Section titled “Common Qualification Workflows”New Member Onboarding
Section titled “New Member Onboarding”When onboarding new members:
- Add basic qualifications first (e.g., Induction, Basic Training)
- Add specialized training as completed
- Document dates accurately for compliance
Annual Training
Section titled “Annual Training”For recurring training:
- Add new qualification entry each year/cycle
- Note the training cycle in the notes field
- Keep historical records visible
External Training
Section titled “External Training”When members complete external courses:
- Add qualification with accurate date
- Include training provider in notes
- Record certificate number for verification
Accurate Date Entry
Section titled “Accurate Date Entry”Always use the actual completion date:
- Important for compliance reporting
- Tracks qualification currency
- Supports renewal scheduling
- Maintains accurate member history
Comprehensive Notes
Section titled “Comprehensive Notes”Use notes to record:
- Certificate or credential number
- Training provider/organization
- Expiry date (if applicable)
- Renewal requirements
- Special endorsements or restrictions
Examples:
- “Certificate #12345 - Provider: Red Cross - Expires: 2026-12-31”
- “Issued by CFA Training College - Advanced Level”
- “Restricted to daylight operations only”
Tracking Expiry
Section titled “Tracking Expiry”While StationOne doesn’t automatically track qualification expiry:
- Use notes field to record expiry dates
- Set calendar reminders for renewals
- Review member qualifications periodically
- Plan renewal training in advance
Common Issues
Section titled “Common Issues”No Qualifications Available
Section titled “No Qualifications Available”If the qualification dropdown is empty:
- Member may already have all available qualifications
- Organisation may not have qualifications configured
- Check with organisation admin to add qualifications
Can’t Add Qualifications
Section titled “Can’t Add Qualifications”If you’re unable to add qualifications:
- Verify you have admin role
- Ensure you manage the member’s unit
- Check member profile is accessible
- Contact organisation admin
Qualification Not Listed
Section titled “Qualification Not Listed”If a needed qualification isn’t in the list:
- Contact organisation admin
- Request the qualification be added to organisation
- Admin can create new qualifications in organisation settings
Duplicate Qualifications
Section titled “Duplicate Qualifications”If you need to record a qualification renewal:
- You cannot add the same qualification twice
- Use the notes field to document renewals
- Or remove the old qualification and add a new entry with current date
