How to Create a Vehicle

This guide walks you through adding a new vehicle to StationOne.

  • Brigade admin or organisation admin role
  • Access to vehicle details (registration, VIN, etc.)
  • Appliance type configured (if using custom types)
  1. Log in to StationOne
  2. Select your organisation and unit (if applicable)
  3. Click Vehicles in the main navigation
  4. Click the New Vehicle button

Fill in the vehicle information form:

Registration Number (required)

  • Enter the vehicle registration/license plate number
  • Example: ABC123

Call Sign (optional)

  • Radio call sign for the vehicle
  • Example: Pumper 1, Tanker 2

VIN (optional)

  • Vehicle Identification Number
  • Useful for maintenance records

Appliance Type (required)

  • Select from dropdown (4WD, A-class, B-class, etc.)
  • Determines vehicle capabilities and crew capacity
  • Affects which templates are available

Unit (required)

  • Home station/brigade for the vehicle
  • Determines who can access and inspect

Location (optional)

  • Current physical location
  • Station or depot assignment

Default Template (optional)

  • Pre-select inspection template for this vehicle
  • Streamlines inspection process
  • Can be changed later

Bookable (optional)

  • Check if vehicle can be reserved
  • Enables booking system for this vehicle

Click Create Vehicle to save the record.

You’ll be redirected to the vehicle detail page.

Assign equipment to the vehicle:

  1. Click Equipment tab
  2. Click Add Equipment
  3. Fill in equipment details
  4. Equipment will be inspected with vehicle

How to Conduct an Inspection

Use consistent naming:

  • Registration: Actual license plate
  • Call sign: Radio designation
  • Keep names clear and searchable

Choose the correct appliance type:

  • Affects template availability
  • Determines crew capacity
  • Used in reporting

Set a default template for:

  • Faster inspection creation
  • Consistency across inspections
  • Especially useful for daily checks

Keep location updated:

  • Helps with resource planning
  • Useful for multi-station units
  • Can indicate out for repairs

If your vehicle type isn’t listed:

  1. Contact organisation admin
  2. Request new appliance type
  3. Admins can create custom types at organisation level

If expected template doesn’t appear:

  1. Check template’s appliance type filter
  2. Template may be restricted to different vehicle types
  3. Contact admin to adjust template settings

If you can’t create vehicles:

  1. Verify you have brigade_admin or higher role
  2. Ensure you’re in the correct unit context
  3. Contact organisation admin for role adjustment
