Member Development Plans
Member Development Plans let brigade admins build a structured, personal development roadmap for each member. Plans track which qualifications and endorsements a member is working toward, organised into named pathways, and record a log of one-on-one meetings.
Completion is detected automatically — as soon as a member earns a qualification or endorsement linked to a pathway step, that step is marked as achieved.
Prerequisites
Section titled “Prerequisites”- Brigade admin, group admin, district admin, region admin, or organisation admin role
- The Member Development Plans module enabled for your unit
The Development Plans page
Section titled “The Development Plans page”Navigate to Training → Development Plans in the main navigation.
The page has two tabs:
- Plans — all members who have a development plan, showing pathway progress, last meeting date, and next scheduled meeting
- No Plan Yet — members without a plan, with a quick link to create one
Use the search box to filter by member name, and the unit dropdown (visible to organisation admins) to filter across units.
Creating a plan
Section titled “Creating a plan”- Go to Training → Development Plans
- Click the No Plan Yet tab
- Find the member and click Create Plan
- Optionally add Overview Notes — a free-text field for goals, context, or background notes visible only to admins
- Click Create Development Plan
You can also create a plan directly from a member’s profile page — a Create Development Plan button appears on their profile when the module is enabled and no plan exists yet.
Adding pathways
Section titled “Adding pathways”A pathway is a named group of development steps. A plan can have multiple pathways — for example, “Operational Firefighter” and “Leadership Development”.
- Open a member’s development plan
- Click Add Pathway
- Enter a Name for the pathway (e.g. “Structural Firefighting”, “Road Crash Rescue”)
- Click Create Pathway
Each pathway shows a progress bar indicating how many steps have been completed.
Adding steps to a pathway
Section titled “Adding steps to a pathway”Steps are individual qualifications or endorsements the member is working toward.
- Inside a pathway, click Add Step
- Choose the Type: Qualification or Endorsement
- Select the specific qualification or endorsement from the list
- Optionally set:
- Status — Requested, Enrolled, or Booked
- Course Date — required if status is Booked
- Target Date — the date you’d like the step completed by (shown in red if overdue)
- Notes — any admin notes about this step
- Click Create Step
Steps are automatically sorted with incomplete steps first (ordered by target date), followed by completed steps.
Step status and completion
Section titled “Step status and completion”Each step shows its current enrolment status (Requested / Enrolled / Booked) and whether it has been achieved:
- A step is marked Achieved automatically when the member holds the linked qualification (with status
completedorexpiring) or endorsement in their member profile — no manual marking is needed. - To record a new completion, click Mark Complete next to an unachieved step. This opens the standard qualification or endorsement form pre-filled for that member.
Applying a pathway template
Section titled “Applying a pathway template”If your brigade has pre-built pathway templates, you can apply one when creating a new pathway instead of adding steps one by one. See Pathway Templates below.
Recording meetings
Section titled “Recording meetings”The Meetings section at the bottom of a plan logs one-on-one development conversations between the admin and the member.
- Open a member’s development plan
- Click Add Meeting
- Enter the Meeting Date
- Set the Status: Scheduled, Completed, or Cancelled
- Add Notes (optional) — visible to admins only
- Mark as Private if the notes should not appear in the exported PDF
- Click Create Meeting
The plan index shows the date of the last completed meeting and the next upcoming meeting date. If a scheduled meeting date has passed without being marked as completed, it is flagged in red as overdue.
Editing plan notes
Section titled “Editing plan notes”To update the overview notes on a plan:
- Open the development plan
- Click Edit Notes
- Update the Overview Notes field and the Next Meeting Date
- Click Update Development Plan
Exporting a plan
Section titled “Exporting a plan”Development plans can be exported as a PDF for printing or filing.
- Download PDF — click Export PDF to download the plan directly
- Email to member — click Email to Member to send the PDF to the member’s email address. This button only appears if the member has an email address on their profile.
The PDF includes the overview notes, a table of all pathway steps with their completion status, and the meeting log (excluding any meetings marked as private).
Pathway Templates
Section titled “Pathway Templates”Pathway templates let you pre-define a set of qualification and endorsement steps so you can apply them quickly when setting up a new member plan, rather than adding each step individually.
Creating a template
Section titled “Creating a template”- From the Development Plans index page, click Pathway Templates
- Click New Template
- Enter a Name and optional Description
- Add steps — each step has a type (Qualification or Endorsement) and a specific qualification or endorsement from the catalogue
- Click Create Template
Applying a template
Section titled “Applying a template”When adding a pathway to a member’s plan, select an existing template from the Apply Template option. The template’s steps are copied into the new pathway. You can then edit individual steps as needed.
Structuring pathways effectively
Section titled “Structuring pathways effectively”Separate pathways by operational stream rather than cramming everything into one. This makes progress easier to track and discussions more focused. For example:
- One pathway per certification track (Structural Firefighting, HAZMAT Awareness)
- A separate pathway for leadership or administrative development
Keeping meeting notes
Section titled “Keeping meeting notes”Use the Meetings log to track what was discussed and agreed at each development conversation. Mark the Next Meeting Date on the plan to ensure no member’s plan goes unreviewed for an extended period — overdue next meetings are highlighted in red on the index page.
Using the “No Plan Yet” tab
Section titled “Using the “No Plan Yet” tab”Review the No Plan Yet tab periodically to identify members who haven’t been assigned a development plan, particularly newer members or those recently promoted.
