Manage Equipment Kits

An equipment kit is a named container that groups existing records - equipment, assets, hoses, cylinders, BA sets and stock items - into a single unit such as a cutting bag, drilling bag, or station first aid kit. The kit itself becomes an inspection target, so you can check that its contents are present, serviceable and adequately stocked on a schedule.

Prerequisites

• Brigade admin or organisation admin role, or a user with the Equipment manage permission
• Equipment module enabled for the unit
• The items you want to add already exist in the unit (equipment, assets, hoses, cylinders, BA sets, stock items)

Concepts

Kit template

A reusable definition of what a kit should contain. Each template item (line) has:

• Item type - Equipment, Asset, Hose, Cylinder, BA Set or Stock Item
• Name - the label for that line, e.g. “Rescue knife”
• Section (optional) - groups lines on the template, e.g. “Cutting tools”
• Critical - a missing critical line makes the kit incomplete; non-critical lines are tracked but do not affect completeness
• Requires serial (non-stock lines) - flags that the fulfilling record should carry a serial number
• Stock item + default quantity (Stock Item lines only) - a consumable line; a kit falls understocked when its quantity drops below this default

Templates are unit-scoped. Deleting a template does not affect kits already built from it - those kits simply lose their completeness tracking.

Kit

An actual physical kit. A kit can be:

• Template-linked - StationOne tracks whether the kit is complete against that template
• Manual - no template; just a grouping of items with no completeness check

Each kit has a status (On Vehicle, Spare at Unit, Away for Service, Decommissioned), an optional vehicle (required when the status is On Vehicle), and optional location, asset number and notes.

Kit contents

The records actually in the kit. An equipment item, asset, hose, cylinder or BA set can only belong to one kit at a time; stock items can appear on multiple kits. Each content line either fulfils a template line or is marked Extra.

Completeness

A template-linked kit is Complete when every critical template line is fulfilled by a content line of the matching type. Understocked is a separate warning - a stock line below its template default quantity - and does not by itself make the kit incomplete.

Steps

1. Open the Kits tab

1. Log in and select your organisation and unit
2. Click Equipment in the navigation
3. Click the Kits tab

2. Create a kit template (recommended)

1. From the Kits page, click Manage Kit Templates
2. Click New Template, enter a Name and optional Description, leave Active checked, and save
3. On the template page, use Add Item to add each required line:
   • Choose the Item Type and enter a Name
   • Optionally set a Section
   • For a Stock Item line, pick the Stock Item and a Default Quantity (this makes it a consumable line)
   • Leave Critical checked for lines that must be present; uncheck it for “nice to have” lines
   • Check Requires serial number where the fulfilling record should have one
4. Edit or remove lines any time - kits re-evaluate their completeness immediately

Uncheck Active on a template to keep it for reference while hiding it from the “new kit” picker.

3. Create the kit

1. From the Kits page, click New Kit
2. Fill in:
   • Name - e.g. “Cutting Bag #1”
   • Kit Template - choose a template, or None - Manual Kit
   • Status - set to On Vehicle only if you also select a vehicle
   • Vehicle / Location - where the kit lives
   • Asset Number / Notes - optional
3. Click Create Kit

4. Add contents

On the kit page, click Add Item:

1. Choose the Item Type
2. Select the existing record to add (the list only shows active records in the unit that are not already on another kit)
3. Optionally choose the template line this item fulfils - leave as None - extra item for contents not covered by the template
4. For a stock item, enter the Quantity held in the kit

The completeness badge updates as you add items. On the kit page it also lists any missing critical lines and any understocked stock.

Inspecting a kit

1. Create a Template with Inspection Target set to Kit (see Create a Template)
2. Optionally tick the Kits this template applies to. When an inspection is started, the kit dropdown is filtered to those kits; a template with no kits ticked is offered for every kit
3. Use Generate from Kit on the template form to seed the template’s questions from a kit’s current contents. This adds a “Kit Contents” section of ordinary, editable questions - rename, remove or reconfigure them like any other template item
4. Start a check from the kit page with Start Inspection, or from Inspections -> New by choosing the Kit target
5. Failed items automatically create Actions, which appear in the Outstanding Action Items panel on the kit page
6. Add an inspection schedule against the kit for recurring checks - the kit page shows the next due date

Kits on vehicles

Set a kit’s status to On Vehicle and choose the vehicle. The kit then appears under that vehicle’s Equipment & Assets tab with its completeness badge, so a driver checking the truck can see at a glance whether each kit is complete.

Decommissioning a kit always removes it from its vehicle.

Decommissioning and deleting

• Decommission - takes the kit off its vehicle and moves it to the Decommissioned tab. It no longer appears in the active list or inspection pickers
• Return to Service - brings a decommissioned kit back as Spare at Unit
• Delete - permanent; use it only for kits created in error

Tips

• Build the template first, then the kits - contents can be linked to template lines as you add them, which is fiddlier to do retrospectively
• Use Sections on the template to keep large kits readable
• Reserve Critical for items that genuinely make the kit unusable if missing; everything else can stay non-critical and still be tracked
• Keep a manual kit (no template) for ad hoc groupings you do not need to inspect against a standard

Common Issues

An item is missing from the “Add Item” list

Non-stock records (equipment, assets, hoses, cylinders, BA sets) can only be on one kit at a time. If a record does not appear, it is already on another kit, is inactive, or belongs to a different unit. Stock items only disappear from the list once they are already a line on this kit.

A content line will not tick off a template line

The fulfilling record’s type must match the template line’s Item Type, and the line must belong to this kit’s template. Add the item again and pick the correct template line, or adjust the template.

The kit shows “Incomplete” but everything looks present

Only critical template lines gate completeness. Check whether an unfulfilled line is still marked critical on the template, and whether each content line is linked to the line it fulfils rather than marked Extra.

Can’t create or edit kits

Kit management needs an admin role or the Equipment manage permission, scoped to your unit. On an independent brigade, an expired trial also blocks creating and editing kits until a subscription is active.
