Add Vehicle Endorsements

This guide explains how to endorse members on specific vehicles, enabling them to operate those vehicles and others of the same type.

  • Brigade admin or higher role
  • Member should have appropriate driver endorsements (e.g., Code 1, Code 2, Code 3)
  • Member should have required qualifications
  • Vehicles configured in your brigade

Vehicle endorsements authorize specific members to operate specific vehicles. Unlike general endorsements (like “Code 1 Driver”), vehicle endorsements link members to actual vehicles.

StationOne uses a smart dual-level endorsement system:

Level 1: Direct Endorsement

  • Member is endorsed on a specific vehicle (e.g., “Tyabb Tanker”)

Level 2: Appliance Type Endorsement

  • Member can then drive ANY vehicle of the same appliance type
  • Example: Endorsing on one “Medium Tanker” allows driving all “Medium Tankers”

This system reduces admin overhead while maintaining safety - endorse once per vehicle type, not every individual vehicle.

Use when managing which members can drive a specific vehicle.

  1. Log in to StationOne
  2. Select your organisation and unit
  3. Click Members in navigation
  4. Find and click on the member’s name

On the member profile page:

  1. Scroll to the Vehicle Endorsements card (in the right column)
  2. Shows vehicles the member can drive
  3. Click the + (plus) icon in the top-right corner

In the “Endorse Member on Vehicle” modal:

  1. Vehicle: Select from the dropdown

    • Shows active vehicles from member’s brigade
    • Only vehicles in the same unit
    • Organized by appliance type
  2. Endorsement Date: Choose the endorsement date

    • Defaults to today’s date
    • Record actual assessment/authorization date
  3. Notes (optional): Add relevant details

    • Assessment details
    • Assessor name
    • Any restrictions or conditions
    • Reference to training records

Click Endorse on Vehicle to save.

The vehicle appears immediately in the member’s Vehicle Endorsements section.

  1. Log in to StationOne
  2. Select your organisation and unit
  3. Click Vehicles in navigation
  4. Find and click on the vehicle name

On the vehicle page:

  1. Scroll to the Endorsed Drivers section
  2. Click View All Endorsed Drivers button
  3. This shows the vehicle endorsements index page

On the endorsed drivers page:

  1. Click Add Endorsed Driver button (top or bottom of page)
  2. Complete the endorsement modal

In the “Endorse Driver” modal:

  1. Driver: Select from the dropdown

    • Shows members from the vehicle’s brigade
    • All active members in the unit
  2. Endorsement Date: Choose the endorsement date

    • Defaults to today’s date
    • Record actual assessment date
  3. Notes (optional): Add relevant details

    • Assessment information
    • Assessor name
    • Conditions or restrictions

Click Endorse Driver to save.

The driver appears immediately in the endorsed drivers list.

Understanding the Endorsed Drivers Display

The endorsed drivers list shows:

Direct Endorsements (solid green badge)

  • Members specifically endorsed on this vehicle
  • Badge shows “Endorsed”
  • These are explicit endorsements

Appliance Type Endorsements (outlined badge)

  • Members endorsed on a different vehicle of the same type
  • Badge shows “Via [Appliance Type] endorsement”
  • Example: “Via Medium Tanker endorsement”
  • Automatically inherited from type-level endorsement

The endorsed drivers list also displays relevant driving endorsements:

  • Shows Code 1, Code 2, Code 3 endorsements
  • Only shows active (non-expired) endorsements
  • Only shows “Driving” category endorsements
  • Displayed as small green badges under the driver’s name

This provides quick visibility of driver capabilities and authorizations.

Your brigade has three Medium Tankers:

  • Tyabb 1 (Medium Tanker)
  • Tyabb 2 (Medium Tanker)
  • Tyabb 3 (Medium Tanker)

You endorse Driver A on “Tyabb 1”:

  • Driver A has direct endorsement on Tyabb 1
  • Driver A automatically can drive Tyabb 2 and Tyabb 3
  • All three have the same appliance type (Medium Tanker)

Your brigade has:

  • Tyabb 1 (Medium Tanker)
  • Tyabb Pumper (Pumper)

You endorse Driver B on “Tyabb 1”:

  • Driver B can drive Tyabb 1 (direct)
  • Driver B can drive other Medium Tankers (type)
  • Driver B cannot drive Tyabb Pumper (different type)
  • Requires separate endorsement on Pumper or another Pumper-type vehicle

Driver C needs to drive both tankers and pumpers:

  1. Endorse on any Medium Tanker → can drive all Medium Tankers
  2. Endorse on any Pumper → can drive all Pumpers
  3. Two endorsements give access to both vehicle types

On the member profile, the Vehicle Endorsements card shows:

  • All vehicles the member can drive
  • Direct endorsements and type-matched vehicles
  • Vehicle name and appliance type
  • Endorsement date
  • Who endorsed them
  • Badge indicating direct vs type endorsement

On the vehicle endorsed drivers list:

  • All members who can drive this vehicle
  • Direct endorsements on this vehicle
  • Members endorsed on other vehicles of same type
  • Filter by brigade (only shows members from vehicle’s brigade)
  • Driver’s relevant endorsements (Code 1, etc.)

To remove a vehicle endorsement:

  1. Navigate to member profile OR vehicle endorsed drivers list
  2. Find the endorsement
  3. Click the trash/delete icon
  4. Confirm removal

Important: Removing a direct endorsement:

  • Removes authorization for that specific vehicle
  • May remove authorization for type-matched vehicles (if no other endorsement exists)
  • Check member’s other endorsements before removing

Before endorsing members on vehicles:

  1. Verify appropriate driver endorsement (Code 1/2/3)
  2. Confirm driver qualifications
  3. Check driver’s license class
  4. Complete vehicle familiarization
  5. Document assessment

Use the dual-level system efficiently:

  • Endorse drivers on one vehicle per appliance type
  • Automatic access to all vehicles of that type
  • Less administrative overhead
  • Still maintains safety and accountability

In notes field, record:

  • Assessor or training officer name
  • Assessment or familiarization date
  • Any vehicle-specific restrictions
  • Reference to training records

Examples:

  • “Vehicle familiarization completed with Captain Smith - 15/12/2024”
  • “Annual driver assessment - all competencies demonstrated”
  • “Restriction: Daylight operations only”

Important: Vehicle endorsements are brigade-scoped

  • Members only see vehicles from their brigade
  • Endorsed drivers list only shows members from vehicle’s brigade
  • Prevents cross-brigade confusion
  • Maintains local accountability

When authorizing a new driver:

  1. Ensure member has:

    • Driver qualification/training
    • Appropriate driver endorsement (Code 1/2/3)
    • Valid driver’s license
  2. Vehicle familiarization:

    • Walk-around and controls
    • Driving assessment
    • Emergency procedures
  3. Award vehicle endorsement:

    • Document assessment in notes
    • Record familiarization date
    • Note assessor name
  4. Member can now drive:

    • The specific vehicle endorsed on
    • All vehicles of the same appliance type

For annual driver assessments:

  • Review existing vehicle endorsements
  • Don’t remove and re-add
  • Update notes with re-assessment information
  • Or add a new endorsement with current date

When vehicles are added or retired:

New Vehicle (Same Type):

  • No action needed
  • Existing endorsements automatically apply if same type
  • May want to document familiarization in notes

New Vehicle (Different Type):

  • Assess driver on new vehicle type
  • Award new vehicle endorsement
  • Document in notes

Vehicle Retired:

  • Endorsement remains in history
  • If last vehicle of that type, consider implications
  • No automatic removal needed

If vehicle dropdown is empty:

  • Brigade may have no active vehicles
  • Member may be in wrong unit context
  • Contact admin to create vehicles

If unable to endorse:

  • Verify admin role
  • Ensure member and vehicle in same brigade
  • Check permissions
  • Contact organisation admin

If you see “already endorsed” error:

  • Member already has direct endorsement on this vehicle
  • Check Vehicle Endorsements card on member profile
  • No need to endorse again

Confused by badge types?

  • “Endorsed” (solid green): Direct endorsement on this vehicle
  • “Via [Type]” (outlined green): Can drive via type-level endorsement
  • Both are valid authorizations
  • Both appear on endorsed drivers list

Vehicle endorsements represent safety authorization:

  • Always verify driver competency
  • Document assessments thoroughly
  • Review endorsements regularly
  • Revoke if safety concerns arise

The dual-level system assumes:

  • Vehicles of same type have similar characteristics
  • Drivers competent on one can handle others of same type
  • Organization defines appliance types appropriately

Important: If vehicles within a type vary significantly, consider:

  • Creating more specific appliance types
  • Adding restrictions in endorsement notes
  • Requiring additional familiarization

Brigade admins are responsible for:

  • Verifying driver competency
  • Maintaining current endorsements
  • Removing endorsements when needed
  • Ensuring safe operations

Periodically review vehicle endorsements:

  • Verify driver currency
  • Check for expired driver endorsements
  • Update for fleet changes
  • Remove inactive members
