Create a Skills Plan

This guide walks you through creating a Skills Maintenance plan for your brigade. Plans define the annual competencies your members must complete before a set deadline.

  • Brigade admin or organisation admin role
  • The Skills Maintenance module enabled for your organisation

  1. Navigate to Training → Skills Maintenance in the main navigation
  2. Click New Plan
  3. Fill in the plan details (see below)
  4. Click Create Skills Plan
  5. After saving, you are taken to the Members page to enrol members

Name (required)

  • A clear, descriptive name
  • Example: “Annual Competency Plan 2026”, “BA Operator Skills”

Description (optional)

  • Background information about the plan, what it covers, or who it’s for

Annual deadline (required)

  • Month and Day — the date by which all skills must be completed each year
  • Year (optional) — lock to a specific year; leave blank for the deadline to recur annually

Roll over annually

  • Tick this to automatically start a new tracking cycle each year when the deadline passes
  • If unticked, the plan ends at its deadline and must be manually reset
  • Recommended for ongoing annual competency requirements

Show progress on station portal

  • Tick to allow enrolled members to view their own progress on the public Station Portal
  • Only applies if the station portal is enabled and the unit has Skills Plan enabled in portal settings

Topics are colour-coded groupings of related skills. Each plan must have at least one topic.

To add a topic:

  1. Enter a Topic name (e.g. “Safety”, “Vehicle Operations”, “First Aid”)
  2. Choose a Colour to distinguish the topic visually in the progress matrix
  3. Add Skills beneath the topic — one per line

To add skills within a topic:

  1. Click Add skill within the topic
  2. Enter the skill description (e.g. “SCBA donning and doffing within 60 seconds”)
  3. Optionally add Notes — guidance for assessors or context for the member
  4. Tick Active to include the skill in current completions (untick to retire a skill without deleting history)

To reorder topics and skills:

  • Drag the handle on the left of each row to reorder

To add another topic:

  • Click Add topic at the bottom of the topic list

Templates are reusable blueprints. If your organisation has pre-built templates:

  1. Navigate to Training → Skills Maintenance
  2. Click the Templates tab
  3. Find the template and click Use template
  4. The new plan form is pre-filled with the template’s topics and skills
  5. Adjust as needed and save

To create a new plan based on an existing one:

  1. Open the plan you want to copy
  2. Click Duplicate
  3. The duplicate form opens pre-filled with “Copy of [Plan name]” and all topics and skills
  4. Update the name, deadline, and any other details
  5. Click Create Skills Plan

The duplicate starts with no enrolments — you will need to enrol members separately.


Templates are saved separately from active plans and do not track enrolments or completions. Use them as standardised starting points.

To create a template:

  1. Navigate to Training → Skills Maintenance
  2. Click the Templates tab
  3. Click New Template
  4. Fill in the template name, topics, and skills
  5. Tick Save as a template (pre-selected when creating from the Templates tab)
  6. Click Create Skills Plan

To edit a template:

  1. Go to the Templates tab
  2. Find the template and click Edit
  3. Make changes and save

  1. Open the plan
  2. Click Edit
  3. Update any details — name, description, deadline, rollover, portal visibility, or the topic and skill structure
  4. Click Update Skills Plan

To deactivate (keep history, stop new completions):

  1. Open the plan and click Edit
  2. Untick Plan is active
  3. Save — the plan moves to the inactive list and is no longer shown in the progress matrix

To delete (permanent):

  1. Open the plan
  2. Click Delete
  3. Confirm — this permanently removes the plan, all topics, skills, enrolments, and completion history
