Availability
Availability lets brigades collect and view member availability across a rolling two-week window. Members record their status for day and night shifts independently, optionally nominate which station they’ll be at, and admins can see an operational crew status view filtered by qualifications, endorsements, and location.
Overview
Section titled “Overview”The Availability module provides:
- Per-member day and night shift availability across a two-week window
- Customisable availability types with colour coding (e.g. Available, On Leave, Unavailable)
- Optional station locations so members can indicate where they’ll be working
- A brigade-wide weekly grid for admin review and editing
- A crew status view showing availability alongside member qualifications and endorsements
- Public QR code access so members can update their availability without logging in
Key Features
Section titled “Key Features”Availability Types
Section titled “Availability Types”Organisations define the availability states available to members. Each type has:
- Key — A unique identifier used internally (e.g.
available,on_leave) - Name — The label shown in the UI (e.g. “Available”, “On Leave”)
- Colour — A hex colour for visual identification across the grid and status views
Availability types are configured at the organisation level and apply across all brigades in the organisation. Contact your organisation admin to add or update types.
Day and Night Shifts
Section titled “Day and Night Shifts”Each calendar day is split into two independent periods — Day and Night. Members can set a different status for each period, allowing the system to accurately reflect partial availability (e.g. available during the day but away at night).
Station Locations
Section titled “Station Locations”Brigade admins can define named station locations (e.g. Main Station, Satellite Depot, Cache 2). Once configured, members can select which station they’ll be at when recording their availability. Station assignments:
- Appear as badges under member names in the availability grid and crew status view
- Can be used to filter the crew status view by location
- Support multiple stations per member per day
Stations are optional — brigades with a single location do not need to configure them.
Personal Availability
Section titled “Personal Availability”Members navigate to Availability in the main menu to update their own status. The personal view shows the current week and the following week, with day and night buttons for each date. Changes are saved automatically without a page reload.
Members with appointments across multiple units can switch between units using a dropdown at the top of the page.
Brigade Availability Grid
Section titled “Brigade Availability Grid”Brigade admins have access to a weekly grid showing all members as rows and the seven days of the current week as columns. From this view, admins can:
- See all members’ day and night statuses at a glance
- Click any cell to update a member’s status via a dropdown
- Open a member’s two-week forecast card to view and edit their full availability and station assignments
- Navigate forward and back through weeks
Crew Status View
Section titled “Crew Status View”The crew status tab provides an operational readiness view for a single selected day. Each member row shows:
- Day and night availability status
- Station assignments for the day
- Code endorsement badges (Code 1, Code 3)
- Configurable columns for qualifications and endorsements
Admins choose which columns appear — selecting from endorsement categories (e.g. Driver, Incident Controller), individual qualifications, and vehicle endorsements. Columns show whether each member’s credential is current, expiring, or expired.
The view can be filtered by station when locations are configured, making it easy to see who is staffed at a specific location on any given day.
Public Availability
Section titled “Public Availability”Enable public availability to give members a QR code link they can use to update their status without logging in. On the public page, members:
- Select their name from a dropdown
- Set their day and night availability for each date
- Select station assignments (if configured)
Admins can optionally enable a read-only brigade summary table on the public page, showing all members’ availability for the current week. This lets members see the overall crew picture before or after updating their own status.
The public link uses your brigade’s existing public token, so no separate setup is required beyond enabling the toggle in brigade settings.
