Link Assets to Equipment

Assets and Equipment are two separate registers in StationOne — but sometimes an item belongs in both. Linking them creates a two-way connection so you can see the purchase and ownership details on the Asset side, and the inspection history, templates, and servicing records on the Equipment side.

Link an asset to equipment when:

  • You purchased a tool or piece of gear that also needs formal inspection records (e.g. a purchased generator, power saw, or portable pump)
  • You want to track purchase cost and warranty on the asset side while running inspection schedules on the equipment side
  • An existing equipment record already exists for something you’ve now registered as an asset

You don’t need to link when:

  • The item is purely a consumable or administrative purchase (laptop, furniture, office chair) — inspections aren’t relevant
  • The equipment is supplied/issued rather than purchased by the unit — register it only in Equipment

Option 1 — Create both records at the same time

When creating a new asset, tick Also register as Equipment before saving.

StationOne will:

  1. Save the asset record
  2. Automatically create a linked Equipment record using the asset’s name, category, serial number, manufacturer, model, and purchase date
  3. Connect the two records

After creation, you can open the Equipment record and attach inspection templates, schedule services, or add it to an inspection schedule as normal.

If both records already exist separately:

  1. Open the Equipment record
  2. Click Edit
  3. In the Linked Asset field, search for and select the matching asset
  4. Save

The link appears on both the asset detail page (in the sidebar) and the equipment detail page.


From the asset:

  • The asset detail page shows a Linked Equipment panel in the sidebar with the equipment name as a clickable link
  • The asset register list shows a purple Equipment badge on linked assets

From the equipment:

  • The equipment detail page shows the linked asset name

If the records were linked incorrectly or the items are no longer the same physical object:

  1. Open the asset detail page
  2. In the Linked Equipment sidebar panel, click Unlink Equipment
  3. Confirm

Both records remain intact — only the connection between them is removed. Neither record is deleted.


  • Linking does not merge or sync the two records — they remain independent and must be updated separately
  • Changes to the asset (name, location, retirement) do not automatically update the Equipment record, and vice versa
  • An asset can only be linked to one equipment record at a time; an equipment record can only be linked to one asset
