Public Access for Duty Crews
The public duty board lets brigade members check off tasks and register attendance using a shareable link or QR code — no StationOne login required. This is ideal for stations with a shared device at the front desk or for members who don’t have accounts.
Prerequisites
Section titled “Prerequisites”- Brigade admin or organisation admin role
- At least one duty crew created
- The Duty Crews module enabled for your brigade
Enable Public Access
Section titled “Enable Public Access”1. Open Brigade Settings
Section titled “1. Open Brigade Settings”- Log in to StationOne
- Go to Settings → Brigade Settings (or Unit Settings)
2. Enable Public Duty Crews
Section titled “2. Enable Public Duty Crews”- Find the Public Access or Duty Crews section
- Toggle on Public Duty Crews
- A unique public access token is generated automatically
- Save the settings
3. Get the Public Link and QR Code
Section titled “3. Get the Public Link and QR Code”Once enabled, the public duty board URL is displayed in your settings. You can:
- Copy the link to share via messaging or email
- Download the QR code to print and display at the station
The URL format is: /public/duty-crews/[your-token]
What Members See on the Public Board
Section titled “What Members See on the Public Board”The public duty board shows:
- Current crew — The crew currently on duty (if a schedule is active), highlighted with their crew colour
- Today’s tasks — All tasks relevant to the current crew
- Tasks with linked templates show an Inspect Now button
- Tasks completed in the current period show a Done badge
- All crews — A grid of all active crews with member counts
Members do not need to log in to view any of this information.
Register Attendance (Public Check-In)
Section titled “Register Attendance (Public Check-In)”Members use the Register Attendance button to log their duty session without logging in.
Attendance Form Sections
Section titled “Attendance Form Sections”1. Your Details (Conductor)
Section titled “1. Your Details (Conductor)”- Select your name from the dropdown
- The list shows brigade members who have an email address in StationOne
- The selected person is recorded as the person who submitted the attendance
2. Duty Crew
Section titled “2. Duty Crew”- Select which crew is on duty
- The current crew is pre-selected automatically based on the rotation schedule
3. Other Members Present
Section titled “3. Other Members Present”- Check the names of other members who were present
- This builds the members present list stored against each task completion
4. Tasks Completed
Section titled “4. Tasks Completed”- Check each task that was completed during this duty session
- Tasks with linked templates show the template name and the last time the task was completed
- If a task requires an inspection, complete the inspection separately using the Inspect Now button before submitting attendance
5. Notes (Optional)
Section titled “5. Notes (Optional)”- Add any notes about the duty session
Submit Attendance
Section titled “Submit Attendance”Click Submit Attendance. A separate task completion record is created for each checked task, with:
- The conductor as the person who logged the completion
- The selected crew
- All members present
- The submission timestamp
- Any notes entered
You’ll be returned to the duty board with a confirmation showing how many task completions were logged.
Running Inspections from the Public Board
Section titled “Running Inspections from the Public Board”If a task has a linked inspection template, members can complete the inspection directly from the public board:
- On the duty board, find the task with the Inspect Now button
- Click Inspect Now — this opens the public inspection form
- Complete and submit the inspection
- Return to the duty board and register attendance, checking the task as completed
- The task completion record is automatically linked to the inspection
Regenerate the Public Token
Section titled “Regenerate the Public Token”If the public link is compromised or you want to reset access:
- Go to Settings → Brigade Settings
- Find the Public Duty Crews section
- Click Regenerate Token
- Update any printed QR codes or shared links with the new URL
The old token becomes immediately invalid.
Disable Public Access
Section titled “Disable Public Access”- Go to Settings → Brigade Settings
- Toggle off Public Duty Crews
- Save
The public URL returns an error page. Re-enabling it restores access using the same token (unless you regenerated it).
Station Tablet Setup
Section titled “Station Tablet Setup”Place a tablet or shared device in the station and set the browser’s home page to the public duty board URL. Members can check in and log tasks without touching any other part of StationOne.
QR Code Placement
Section titled “QR Code Placement”Print the QR code and mount it near the sign-in book or apparatus bay entrance. Members can scan with their phone, log tasks, and be done in under a minute.
Who Appears in the Conductor Dropdown
Section titled “Who Appears in the Conductor Dropdown”Only brigade members with an email address stored in StationOne appear in the conductor dropdown. Members without an email (physical-only members) are not listed. To add a member, ensure their profile includes an email address under Members → their profile.
Task Completion Without an Inspection
Section titled “Task Completion Without an Inspection”For tasks with linked templates, you can still submit attendance and check the task without completing the inspection. The completion record won’t have an associated inspection, which may be flagged in your records. Where possible, complete the inspection first.
Common Issues
Section titled “Common Issues”Public Board Shows “Access Not Enabled”
Section titled “Public Board Shows “Access Not Enabled””The brigade’s public duty crews toggle is off, or the URL token is incorrect. Verify in Brigade Settings that public access is enabled and use the current URL from the settings page.
Conductor Name Not in the List
Section titled “Conductor Name Not in the List”The member doesn’t have an email address in their StationOne profile. Ask a brigade admin to add their email under Members → their profile.
Submitted Attendance but No Completions Logged
Section titled “Submitted Attendance but No Completions Logged”At least one task must be checked on the form for completions to be recorded. If no tasks were checked, the form submission records the attendance session but creates no task completion entries. Re-submit with the tasks checked.
Tasks Not Appearing on the Public Board
Section titled “Tasks Not Appearing on the Public Board”Tasks appear based on the rotation schedule and task configuration. Check:
- The rotation schedule is active and the correct crew is on duty
- The task is active
- For recurring tasks, the
recur fromdate is on or before today - For crew-specific tasks, the current crew is one of the assigned crews
