Add Member Endorsements

This guide explains how to add endorsements to member profiles for tracking operational authorizations and specialized roles.

  • Brigade admin or higher role
  • Access to member profiles
  • Endorsements configured in your organisation
  • Member must have required qualifications (if prerequisites exist)

Endorsements represent operational authorization for specific roles or capabilities beyond basic qualifications. Examples include:

  • Code 1 Driver (Drive under emergency conditions)
  • Code 2 Driver (Drive non-emergency)
  • Code 3 Driver (Pump operator)
  • Incident Controller
  • Crew Leader
  • Chainsaw Operator
  • BA Team Leader

Unlike qualifications (which track training), endorsements authorize members for operational roles. Many endorsements require periodic re-endorsement.

Endorsements are organized into categories:

  • General: Basic operational endorsements
  • Driving: Vehicle operation endorsements (Code 1, Code 2, Code 3)
  • Incident Management: Leadership and command roles
  • Firefighting: Specialized firefighting operations

Categories help organize and filter endorsements for different contexts.

  1. Log in to StationOne
  2. Select your organisation and unit
  3. Click Members in navigation
  4. Find and click on the member’s name

On the member profile page:

  1. Scroll to the Endorsements card (in the right column)
  2. The card displays current endorsements with status
  3. Click the + (plus) icon in the top-right corner

In the “Award Endorsement” modal:

  1. Endorsement: Select from the dropdown

    • Shows endorsements available for your organisation
    • Only endorsements the member doesn’t already have
    • If empty, member may have all available endorsements or lack required qualifications
  2. Date Endorsed: Choose the endorsement date

    • Defaults to today’s date
    • Used to calculate expiry for re-endorsement
    • Important for compliance tracking
  3. Notes (optional): Add relevant details

    • Assessment details
    • Special conditions or restrictions
    • Training completion references
    • Observer or assessor name

Click Award Endorsement to save.

The endorsement appears immediately in the member’s profile.

Endorsements appear as green cards showing:

  • Endorsement name
  • Category badge (General, Driving, etc.)
  • Date endorsed
  • Endorsed by (admin who awarded it)
  • Notes (if provided)
  • Expiry status (if re-endorsement required)

If an endorsement requires re-endorsement:

Active Status (green badge)

  • Shows expiry date
  • “Expires: DD/MM/YYYY”
  • Member can operate under this endorsement

Expired Status (red badge)

  • Shows “Expired”
  • Member cannot operate under this endorsement
  • Requires re-endorsement

Endorsements display in reverse chronological order (newest first).

Some endorsements require periodic renewal:

When configured, endorsements have:

  • Re-endorsement required: Yes/No flag
  • Re-endorsement period: Number of years (e.g., 3 years)
  • Expiry date: Calculated automatically from endorsement date

When an endorsement expires or approaches expiry:

  1. Complete required assessment or training
  2. Navigate to member profile
  3. The expired endorsement shows in red
  4. Award the endorsement again (not removed and re-added)
  5. New endorsement date resets the expiry period

Note: Each endorsement creates a new record, maintaining history.

Member profiles show all endorsements, including expired ones:

  • Active endorsements in green
  • Expired endorsements in red
  • Complete endorsement history visible

If an endorsement was added in error or needs to be revoked:

  1. Find the endorsement in the member’s profile
  2. Click the trash/delete icon
  3. Confirm the removal

Important: Only remove endorsements for errors. For expired endorsements, leave them visible and add a new current endorsement when re-endorsing.

Many endorsements require specific qualifications first:

Before awarding endorsements:

  1. Review endorsement requirements
  2. Verify member has required qualifications
  3. Confirm training completion
  4. Document assessment in notes

While StationOne tracks prerequisites, it doesn’t prevent awarding endorsements without them.

Best Practice: Always verify prerequisites before endorsing.

For driving endorsements (Code 1, Code 2, Code 3):

  1. Verify member has driver training qualification
  2. Verify member has appropriate driver’s license
  3. Complete required assessment
  4. Award endorsement with assessment details in notes
  5. See Add Vehicle Endorsements to authorize specific vehicles

For incident management roles:

  1. Verify required qualifications (e.g., Crew Leader course)
  2. Document competency assessment
  3. Award endorsement with assessor name
  4. Note any restrictions or conditions

For specialized operations:

  1. Confirm training completion
  2. Document practical assessment
  3. Award endorsement with date and assessor
  4. Include any safety restrictions

Use the actual endorsement/assessment date:

  • Affects expiry calculations for re-endorsement
  • Important for compliance and safety
  • Maintains accurate operational history
  • Supports audit requirements

Document in notes:

  • Assessor or observer name
  • Assessment location or scenario
  • Special conditions or restrictions
  • Reference to training records
  • Any limitations on endorsement

Examples:

  • “Assessed by John Smith - Emergency driving competency demonstrated”
  • “Chainsaw assessment completed - Restricted to tree trimming only”
  • “Annual re-endorsement - Incident command scenario”

For CFA and similar organizations:

  • Code 1: Emergency response driving
  • Code 2: Non-emergency driving
  • Code 3: Pump operation

Members often need multiple driving endorsements. Award separately as each is assessed.

Track endorsements approaching expiry:

  • Review member endorsements quarterly
  • Plan re-endorsement training in advance
  • Schedule assessments before expiry
  • Maintain continuous operational capability

If the endorsement dropdown is empty:

  • Member may already have all available endorsements
  • Member may lack required qualifications
  • Organisation may not have endorsements configured
  • Contact organisation admin

If you’re unable to add endorsements:

  • Verify you have admin role
  • Ensure you manage the member’s unit
  • Check member profile is accessible
  • Verify endorsement prerequisites are met

If a needed endorsement isn’t available:

  • Contact organisation admin
  • Request endorsement be added
  • Admin configures endorsements at organisation level
  • Provide category and re-endorsement requirements

Member Endorsements (this guide):

  • General operational authorization
  • Examples: Code 1 Driver, Incident Controller
  • Broad capability endorsement

Vehicle Endorsements (separate):

Members typically need both:

  1. Code 1 Driver endorsement (general capability)
  2. Vehicle endorsement on specific vehicles

Before awarding endorsements:

  • Verify all prerequisite qualifications
  • Confirm training completion
  • Document competency assessment
  • Check operational requirements

In notes field, document:

  • Who conducted the assessment
  • What was assessed
  • Where assessment occurred
  • Any conditions or restrictions
  • Reference numbers for records

Within your organization:

  • Use standardized assessment criteria
  • Document assessments consistently
  • Maintain assessment records
  • Link to training documentation

Periodically review member endorsements:

  • Identify endorsements nearing expiry
  • Plan re-endorsement training
  • Schedule assessments in advance
  • Maintain operational readiness

Endorsements affect operational safety:

  • Never award without proper assessment
  • Document any restrictions clearly
  • Monitor expiry dates closely
  • Revoke if competency concerns arise
