Recurring Training
Recurring training lets you set up a repeating series — like a weekly Tuesday drill — once, rather than creating each session individually. This guide covers how the series is generated, how editing a single session differs from editing the whole series, and how to manage notifications for an ongoing series.
Prerequisites

Create a recurring training series
Section titled “Create a recurring training series”- Click Training in the main navigation, then Create Training Session
- Fill in the training details as normal (title, type, location, start/end time)
- Tick Make this a recurring training
- Configure the repeat pattern:
- Repeat — Weekly, Monthly, or Daily (Custom)
- Weekly — tick one or more days (e.g. Tuesday and Sunday for two sessions a week) and how often (every week, every two weeks, etc.)
- Monthly — a specific day of the month, or a relative day (e.g. “the first Monday”)
- Daily (Custom) — an interval in days (e.g. every 14 days)
- Choose how future sessions get their invitations under Member Notifications:
- Send automatically — a fresh invitation email goes out to members a set number of days before each future session
- Send manually — no automatic invitations; you send each session’s notification yourself
- Optionally set an End Date for the series
- Click Create Training Session
The Email Notification setting further up the form still controls whether the first session is invited immediately when the series is created — it’s separate from the Member Notifications auto/manual setting, which governs sessions further in the future.
How occurrences are generated
Section titled “How occurrences are generated”When a recurring series is created, StationOne generates the individual sessions up front, all at once — it does not create them day-by-day as time passes.
- Up to 52 sessions, capped at 1 year from the start date, whichever comes first
- If you don’t set an end date, generation still stops at that 1-year/52-session limit
- Each session is its own independent training record, linked back to the first session (the “parent”)
- Members can register for individual sessions independently
Editing a recurring training session
Section titled “Editing a recurring training session”From a session’s details page, admins see two edit options:
- Edit This Session — changes apply only to that single date
- Edit Series — changes apply to the parent and every session from that date onward. Past sessions are never touched.
Editing the series propagates the usual session details (title, type, description, dress code, location, room, instructor, assistant instructor, capacity, invite-only status) plus the notification settings covered below, to the parent and all not-yet-occurred sessions. Unlike recurring events, editing a training series is always safe — it only updates fields in place and never deletes or regenerates future sessions, so existing registrations and bookings on future dates are preserved regardless of what you change.
Notifications on a recurring series
Section titled “Notifications on a recurring series”Two separate, independent notification mechanisms apply to recurring training. Both can be controlled without recreating the series.
Reminder
Section titled “Reminder”An optional reminder email sent to registered and confirmed members a chosen number of minutes or hours before each session’s start time. Set Send reminder on the session edit form:
- Editing This Session only changes that date’s reminder timing
- Editing the Series applies the new setting to the parent and all future sessions at once, without disturbing existing registrations
Selecting Off does not cancel the session or remove it from check-in — it only stops the reminder email.
Automatic invitations before each session
Section titled “Automatic invitations before each session”If Send automatically was chosen for Member Notifications when the series was created, StationOne sends a fresh invitation email to members a configured number of days before each upcoming session — separate from, and in addition to, the reminder above.
To turn this on or off for an existing series:
- Open the parent session (the first one in the series, or use view series from any session’s details page)
- In the Recurrence section, click Turn off auto-invite (or Turn on auto-invite to re-enable it, optionally with a new number of days)
This is a dedicated, lightweight toggle — it doesn’t go through the recurrence pattern at all, so future sessions, their registrations, and bookings are completely unaffected. Use this when members already know about a standing session (e.g. “training is every Tuesday and Sunday”) and repeated invitation emails are no longer useful, but you still want the series to keep running for planning and check-in.
Cancel a recurring training session
Section titled “Cancel a recurring training session”From a session’s details page, Cancel Training offers a choice when the session is part of a series:
- This session only — cancels just that date; registered attendees are notified and its vehicle/room bookings are released
- Entire series — cancels the parent and every non-cancelled session; all attendees across the series are notified
Cancelling a single session records it as an exception on the parent series, so that date stays skipped. Cancelling is different from turning off notifications — a cancelled session no longer appears for check-in, while a session with notifications turned off keeps running normally. A cancelled session can be permanently deleted afterward; see Manage Training.
Common issues

Section titled “Members keep getting invited even though I don’t want new invitations sent”Check whether Member Notifications is set to Send automatically on the series — this is separate from the reminder. Use Turn off auto-invite on the parent session’s page to stop it without affecting the series itself.
A recurring series stopped generating new sessions
Section titled “A recurring series stopped generating new sessions”The series has reached its generation limit (52 sessions or 1 year from the start date). Since the recurrence pattern can’t be edited after creation, set up a new recurring series to continue the schedule.
I cancelled what I thought was one session, but the whole series cancelled
Section titled “I cancelled what I thought was one session, but the whole series cancelled”This happens when the session you cancelled was the parent (first) session of the series — cancelling it always cancels the entire series. Open a different, non-parent occurrence if you only want to cancel a single date.
