Xero Asset Sync
Once your brigade is connected to Xero, assets can flow between your StationOne asset register and Xero’s Fixed Assets Register. This page explains exactly what syncs, which way it goes, and what to expect once an asset is linked to Xero.
Pushing StationOne assets to Xero
Section titled “Pushing StationOne assets to Xero”Assets you create directly in StationOne (not ones already pulled from Xero) are sent to Xero as new draft fixed assets. The following fields are sent:
- Name
- Asset Tag (as the Xero asset number)
- Serial Number
- Purchase Date and Purchase Price
- Warranty Expiry
- Asset category, mapped to a Xero asset type using your category mapping
Assets in a category that hasn’t been mapped to a Xero asset type are skipped and are not pushed.
Pulling assets from Xero
Section titled “Pulling assets from Xero”Assets recorded in Xero (both draft and registered) are imported into StationOne, tagged as created in Xero so you can tell them apart from manually created assets on the asset detail page. Only Xero-owned fields are written on pull:
- Name, Asset Tag, Category
- Serial Number
- Purchase Date, Purchase Price
- Warranty Expiry
- Book value and disposal details, shown in the Xero Sync section of the asset detail page
If an asset is disposed of in Xero, StationOne does not automatically mark the matching asset as retired — it only refreshes the depreciation/disposal details on the existing record. Retire the asset manually in StationOne if you want it reflected in the Active/Retired split.
Sync direction
Section titled “Sync direction”Which of the above happens is controlled by the Sync Direction setting on the Xero integration:

When sync happens
Section titled “When sync happens”- Automatically, once a day, for every unit with an active Xero connection and Asset Manager enabled
- On demand, using Sync now on the Integrations tab in Brigade Settings
Troubleshooting
Section titled “Troubleshooting”An asset isn’t appearing in Xero — check that its category is mapped to a Xero asset type in the category mapping. Unmapped categories are silently skipped.
Edits to an asset aren’t showing up in Xero — this is expected once an asset has been pushed; see the caution above. Edit the asset in Xero directly instead.
Sync stopped working — check the connection status on Brigade Settings → Integrations. If it shows Needs Reconnect, follow the reconnect steps.
