Public Room Booking
This guide explains how community members and external groups can book brigade facility rooms using the public booking system.
Overview
Section titled “Overview”Some brigades make their facility rooms available for public booking. This allows community groups, organizations, and individuals to reserve spaces for meetings, events, and activities without needing a StationOne account.
Prerequisites
Section titled “Prerequisites”- Public room URL (provided by brigade)
- Room must have public booking enabled
- Your contact information (name and email)
- Booking details (date, time, purpose)
Finding Public Rooms
Section titled “Finding Public Rooms”Getting the URL
Section titled “Getting the URL”Public room URLs are provided by:
- Brigade website or contact page
- Brigade social media or newsletters
- Direct communication from brigade staff
- Community bulletin boards
- Public facility directories
URL Format
Section titled “URL Format”Public room URLs are unique and secure:
- Each room has its own URL
- URL includes secure token
- Cannot be guessed or found without sharing
- Example:
https://stationone.example.com/rooms/AbCd1234EfGh5678/book
Steps to Book a Room
Section titled “Steps to Book a Room”1. Access the Public Room Page
Section titled “1. Access the Public Room Page”- Open the public room URL provided by the brigade
- View room information:
- Room name and description
- Capacity (if specified)
- Location within facility
- Current upcoming bookings
2. Review Availability
Section titled “2. Review Availability”Before submitting a booking:
Check upcoming bookings:
- View list of approved bookings
- See booked dates and times
- Identify available time slots
- Note any recurring patterns
Consider timing:
- Choose time that doesn’t conflict
- Allow buffer time before/after
- Consider setup and cleanup needs
- Check if multi-day booking is appropriate
3. Click “Book this Room”
Section titled “3. Click “Book this Room””Click the booking button to access the booking form.
4. Enter Your Information
Section titled “4. Enter Your Information”Fill in the booking request form:
Contact Information
Section titled “Contact Information”Your Name (required)
- Full name for booking record
- How administrators will identify you
- Example: “Jane Smith” or “Community Choir Group”
Your Email (required)
- Valid email address
- Receives booking confirmation
- Receives approval/rejection notification
- Used for any follow-up questions
Link to Existing Member (optional)
- If you’re associated with the brigade
- Helps administrators recognize you
- May speed up approval process
- Not required for external bookings
Booking Details
Section titled “Booking Details”Purpose (required)
- Clear description of intended use
- Type of meeting or event
- Helps administrators evaluate request
- Example: “Community Choir Practice”, “Neighborhood Association Meeting”, “Youth Sports Club Meeting”
Notes (optional)
- Additional details about your booking
- Expected attendance
- Special equipment needs
- Setup requirements
- Any questions for administrators
Schedule
Section titled “Schedule”Start Date & Time (required)
- When you need to begin using the room
- Include setup time if needed
- Use date and time picker
End Date & Time (required)
- When you’ll finish using the room
- Include cleanup time if needed
- Must be after start date
- Can span multiple days if allowed
5. Submit Booking Request
Section titled “5. Submit Booking Request”Click Submit Booking Request to send your request.
After Submission
Section titled “After Submission”Confirmation Email
Section titled “Confirmation Email”You’ll immediately receive a confirmation email:
Email includes:
- Booking request details
- Room information
- Submitted date and time
- Notice that approval is pending
- Contact information for questions
Save this email:
- Reference for your records
- Proof of submission
- Details to reference if following up
Waiting for Approval
Section titled “Waiting for Approval”All public bookings require administrator approval:
Timeline:
- Review time varies by brigade
- May take 1-3 business days
- Urgent requests may need phone follow-up
- Check email regularly
What administrators review:
- Time slot availability
- Purpose and intended use
- Facility policies and rules
- Conflicts with brigade activities
- Safety and liability considerations
While waiting:
- Don’t assume approval
- Don’t make non-refundable plans
- Have backup location options
- Be patient with review process
Approval Notification
Section titled “Approval Notification”If your booking is approved:
You’ll receive an email with:
- Approval confirmation
- Final booking details
- Any special instructions
- Contact person for day-of coordination
- Directions or access information
- Rules and guidelines for use
Calendar integration:
- Some systems include calendar file
- Add to your calendar
- Set reminders
Next steps:
- Note any specific instructions
- Confirm you can still attend
- Contact brigade if questions
- Arrive on time and follow guidelines
Rejection Notification
Section titled “Rejection Notification”If your booking cannot be approved:
You’ll receive an email with:
- Notice of rejection
- Reason for rejection (if provided)
- Alternative suggestions (if available)
- Contact for further discussion
Common rejection reasons:
- Time slot no longer available
- Purpose not compatible with facility
- Brigade activity takes precedence
- Insufficient notice
- Room not suitable for intended use
- Safety or liability concerns
What to do:
- Read rejection reason carefully
- Consider alternative time or date
- Contact administrator for discussion
- Ask about other available rooms
- Submit new request if appropriate
Tips for Successful Bookings
Section titled “Tips for Successful Bookings”Timing Your Request
Section titled “Timing Your Request”Book early:
- Submit request well in advance
- Popular times fill quickly
- Allows time for approval process
- Gives time to make alternative plans if rejected
Avoid conflicts:
- Check visible bookings first
- Don’t request obviously booked times
- Consider recurring brigade activities
- Respect prime-time availability
Allow buffer time:
- Book 15-30 minutes before for setup
- Book 15-30 minutes after for cleanup
- Prevents tight turnarounds
- Shows consideration for facility
Writing Your Request
Section titled “Writing Your Request”Purpose should be:
- Clear and specific
- Honest about intended use
- Professional in tone
- Detailed enough for evaluation
Good examples:
- “Monthly meeting for Local Food Bank coordination committee - 12 attendees”
- “Weekly practice for Community Theater Group - 20 members”
- “Quarterly gathering for Neighborhood Watch group - 15 residents”
- “Training session for Youth Robotics Club - 10 students + 2 instructors”
Avoid:
- Vague purposes (“Meeting”, “Event”)
- Unclear group affiliations
- Questionable activities
- Lack of detail
Notes should include:
- Expected attendance
- Previous relationship with brigade (if any)
- Special needs or requests
- Contact phone for urgent matters
- Any relevant background
Being a Good Facility User
Section titled “Being a Good Facility User”If approved:
- Arrive on time
- Follow all facility rules
- Respect the space
- Clean up thoroughly
- Report any issues or damage
- Leave space better than you found it
- Thank the brigade for access
Communication:
- Respond promptly to administrator questions
- Update if details change
- Cancel if plans change
- Provide feedback after use
Building relationships:
- First booking establishes credibility
- Successful use leads to easier future approvals
- Consider thanking brigade publicly
- Respect builds trust
Common Issues
Section titled “Common Issues”Cannot Access Public URL
Section titled “Cannot Access Public URL”If the URL doesn’t work:
Possible reasons:
- URL was copied incorrectly
- Public access has been disabled
- Token has been regenerated
- Room has been removed
Solution:
- Double-check URL for typos
- Contact brigade for current URL
- Ask if public booking is still available
- Request updated link if needed
Room Shows No Upcoming Bookings
Section titled “Room Shows No Upcoming Bookings”If the room appears to have no bookings:
This might mean:
- Room is genuinely available
- Only approved bookings are shown
- Recent bookings may not display yet
- Booking display may be limited
Don’t assume:
- That ALL times are available
- That pending bookings aren’t there
- That brigade activities aren’t scheduled
Best practice:
- Submit your request anyway
- Administrator will check all conflicts
- Ask in notes if specific time is clear
Not Receiving Emails
Section titled “Not Receiving Emails”If you don’t get confirmation or approval emails:
Check:
- Spam or junk folder
- Email address entered correctly
- Email filters or rules
- Wait adequate time (not instant)
Solution:
- Contact brigade directly
- Provide booking details
- Ask for status update
- Update email settings to allow system emails
Request Taking Too Long
Section titled “Request Taking Too Long”If waiting longer than expected:
Considerations:
- Administrators may have limited availability
- Weekends may delay response
- Complex requests take longer
- Brigade may be verifying policies
What to do:
- Wait at least 2-3 business days
- Check email for rejection notice
- Contact brigade if urgent
- Be polite and patient in follow-up
- Provide booking reference details
Booking Conflicts with New Information
Section titled “Booking Conflicts with New Information”If your needs change after submission:
Before approval:
- Contact brigade immediately
- Explain needed changes
- May need to submit new request
- Old request may be rejected
After approval:
- Contact administrator right away
- Changes may need re-approval
- Significant changes may require new booking
- Communication is key
Contact and Support

Section titled “Getting Help”If you have questions or issues:
Contact methods:
- Reply to booking confirmation email
- Call brigade office (if number provided)
- Visit facility during office hours
- Use brigade website contact form
Information to provide:
- Your name and email from booking
- Booking details (date, time, room)
- Specific question or issue
- Best way to reach you
Emergency Changes
Section titled “Emergency Changes”If you need to cancel or modify on short notice:
Priority contact:
- Call brigade phone number
- Email administrator directly
- Explain urgency
- Provide all booking details
- Follow up to confirm
Common courtesy:
- Cancel as soon as you know
- Don’t be a no-show
- Give as much notice as possible
- Future bookings depend on reliability
Facility Rules and Guidelines
Section titled “Facility Rules and Guidelines”Each brigade may have specific rules:
Common expectations:
- Respect facility property
- Follow capacity limits
- No unauthorized activities
- Supervise children appropriately
- No alcohol without permission
- Maintain cleanliness
- Follow safety guidelines
- Secure facility when leaving
Ask about:
- Access procedures (keys, codes)
- Parking availability
- Kitchen or equipment use
- Bathroom locations
- Emergency procedures
- Contact for day-of issues
