How to Manage BA Sets

This guide explains how to create and manage BA (Breathing Apparatus) sets in StationOne.

  • Brigade admin or organisation admin role
  • BA module enabled for your organisation
  • Understanding of BA set components (cylinder, mask, backplate)

A BA set is a complete breathing apparatus assembly consisting of:

  • Cylinder: Compressed air cylinder
  • Mask: Face mask with regulator
  • Backplate: Harness and mounting system

BA sets are the primary unit for operational deployment, tracking, and inspection.

  1. Log in to StationOne
  2. Select your organisation and unit
  3. Click Breathing Apparatus in navigation
  4. Click BA Sets tab
  5. Click New BA Set button

Fill in the basic information:

  • Unique identifier for the set
  • Examples:
    • “BA Set 1”
    • “BA Set Alpha”
    • “Mobile BA 3”
  • Should be clear and easy to identify
  • Internal asset tracking number
  • Matches your organisation’s asset numbering system
  • Example: “BA-001”, “ASSET-BA-15”
  • Manufacturer’s serial number (if applicable)
  • Some complete BA sets have an overall serial number

Select the components that make up this BA set:

  1. Click the Cylinder dropdown
  2. Select a cylinder from available inventory
  3. Only shows cylinders with status “Spare” or unassigned
  4. Once selected, cylinder status changes to “On Set”

Tips:

  • Check cylinder current pressure before assignment
  • Verify hydrostatic test due date
  • Ensure cylinder is compatible with your equipment
  1. Click the Mask dropdown
  2. Select a mask from available inventory
  3. Only shows masks with status “Spare” or unassigned
  4. Once selected, mask status changes to “On Set”

Tips:

  • Match mask size to intended users
  • Verify mask is clean and serviceable
  • Check last inspection date
  1. Click the Backplate dropdown
  2. Select a backplate from available inventory
  3. Only shows backplates with status “Spare” or unassigned
  4. Once selected, backplate status changes to “On Set”

Tips:

  • Verify strap condition is good
  • Check battery level if electronic backplate
  • Ensure backplate size matches cylinder

Select where this BA set is assigned:

  • Set belongs to a specific brigade
  • Available for use by that unit
  • Appears in unit inventory
  • Set stored at a specific location
  • Repair facility, storage, or workshop
  • Useful for sets undergoing maintenance
  • Set mounted on a specific vehicle
  • Position 1, 2, 3, etc. on appliance
  • Tracked with vehicle equipment
  • Appears in vehicle inspections

Most Common: Assign to appliance positions for operational readiness.

Choose the operational status:

  • On Appliance: Mounted on a vehicle, ready for deployment
  • Spare: Available backup set in inventory
  • Away for Repair: Offsite for maintenance or testing
  • Decommissioned: Retired from service
  1. Review all selections
  2. Click Create BA Set
  3. Set is created and appears in inventory
  4. Component statuses automatically update
  1. Navigate to BA set
  2. Click Edit Set
  3. Update name, asset ID, or serial number
  4. Click Update BA Set

You can swap out components at any time:

  1. Click Edit Set
  2. Select different cylinder/mask/backplate from dropdowns
  3. Save changes

What happens:

  • Old component returns to “Spare” status
  • New component changes to “On Set” status
  • Component history is tracked
  • Inspection history for both components is preserved

Common Reasons:

  • Component failed inspection and needs replacement
  • Cylinder pressure low, swapping to full cylinder
  • Electronic backplate battery depleted
  • Upgrading components

Change where a set is assigned:

  1. Click Edit Set
  2. Change assignment type:
    • Unit → Location (sending for maintenance)
    • Spare → Appliance (deploying to vehicle)
    • Appliance → Unit (removing from service)
  3. Select new unit/location/appliance
  4. Save changes

Update operational status:

  1. Click Edit Set
  2. Select new status from dropdown
  3. Save changes

Status Changes:

  • Spare → On Appliance: Deploying set to vehicle
  • On Appliance → Away for Repair: Sending complete set for servicing
  • Away for Repair → Spare: Set returned from maintenance
  • Any → Decommissioned: Retiring set from service
  1. Navigate to BA set
  2. Click Conduct Inspection
  3. Select BA inspection template
  4. Work through inspection checklist

During Inspection:

  • Template may include BA Set Selector to confirm which set
  • Template may include BA Component Selector to verify components
  • Enter cylinder pressure readings
  • Enter battery levels (for electronic backplates)
  • Document visual checks and function tests
  • Capture photos of any issues

After Inspection:

  • System automatically updates:
    • Cylinder current pressure
    • Backplate battery level
    • Last inspection date for all components
    • Component assignments (if changed during inspection)
  • Failed items generate maintenance actions
  • Inspection history is recorded

Set up recurring BA set inspections:

  1. Navigate to BA set
  2. Click Schedules
  3. Click New Schedule
  4. Select BA inspection template
  5. Set frequency (daily, weekly, monthly, quarterly)
  6. Enable notifications if desired
  7. Save schedule

Recommended Frequencies:

  • Daily/Pre-Shift: Quick operational checks
  • Weekly: Detailed functional tests
  • Monthly: Comprehensive maintenance inspection
  • Quarterly: Full compliance inspection
  1. Navigate to BA set
  2. Click Inspections tab
  3. View all inspections performed on this set
  4. Click any inspection to view details
  5. Review trends and recurring issues

When you fill the cylinder on a BA set:

  1. Navigate to BA set
  2. Find the assigned cylinder section
  3. Click Log Fill button on cylinder
  4. Enter fill details:
    • Pressure after fill
    • Fill method (cascade/direct/partial)
    • Notes (optional)
  5. Save filling log

Effect:

  • Cylinder current pressure updates
  • Filling log recorded with date, time, and user
  • BA set shows updated cylinder status

View current cylinder pressure:

  • Shown on BA set summary page
  • Colour-coded indicator:
    • Green: Full pressure (ready)
    • Yellow: Partial pressure (needs attention)
    • Red: Low pressure (requires filling)
  • Click through to cylinder for full details

For sets with electronic backplates:

  • Current battery level displayed on set page
  • Percentage indicator (0-100%)
  • Low battery warnings
  • Update via inspections or manual edit
  • Plan battery replacements proactively

View component change history:

  1. Navigate to BA set
  2. Click Component History tab
  3. See all component changes:
    • When component was added
    • When component was removed
    • Who made the change
    • Reason (if recorded)

Use Cases:

  • Audit component movements
  • Understand set configuration changes
  • Track component reliability
  • Plan maintenance schedules

View all BA sets at a glance:

  1. Navigate to BA Sets page
  2. See summary table with:
    • Set name/number
    • Current assignment
    • Status
    • Cylinder pressure
    • Last inspection date
    • Next inspection due

Narrow down the list:

  • Filter by status: Show only spare, on appliance, etc.
  • Filter by unit: Sets belonging to specific brigade
  • Filter by appliance: Sets on specific vehicles
  • Search by name: Find specific set quickly

Organize the list:

  • Sort by set name (alphabetical)
  • Sort by last inspection date (oldest first)
  • Sort by status
  • Sort by assignment

For multiple sets:

  1. Select sets using checkboxes
  2. Choose bulk action:
    • Schedule inspections
    • Export data
    • Generate reports

Generate set inventory:

  1. Navigate to BA Sets
  2. Click Reports
  3. Select Inventory Report
  4. Choose filters:
    • All sets or filtered by status
    • Include/exclude decommissioned
    • Group by unit or appliance
  5. Generate report
  6. Export to PDF or CSV

Includes:

  • Set identification
  • Component details
  • Current status
  • Last inspection
  • Location/assignment

Check operational readiness:

  1. Click ReportsReadiness Report
  2. See which sets are ready for deployment:
    • Cylinder pressure adequate
    • Battery level adequate (if electronic)
    • Inspections up to date
    • No open maintenance actions
  3. Identify sets requiring attention

Track inspection status:

  1. Click ReportsInspection Compliance
  2. View:
    • Sets with overdue inspections
    • Sets due soon
    • Sets up to date
    • Inspection frequency analysis
  3. Plan inspection scheduling

When retiring a set:

  1. Navigate to BA set
  2. Click Edit Set
  3. Set status to Decommissioned
  4. Optional: Add note explaining reason
  5. Save changes

What happens:

  • Set removed from active inventory
  • Components are unassigned (return to spare)
  • Inspection schedules are deactivated
  • History is preserved for records
  • Set cannot be used but remains visible for audit

When to decommission:

  • Set no longer meets standards
  • Components obsolete or incompatible
  • Brigade reducing BA inventory
  • Set damaged beyond repair

If a cylinder/mask/backplate doesn’t appear when creating/editing a set:

Reason: Component is already assigned elsewhere

Solution:

  1. Navigate to that component
  2. Check its current assignment
  3. If on another set, edit that set to remove it
  4. If assigned to location/unit, edit to unassign
  5. Component will now appear in dropdown

If set status doesn’t change as expected:

Check:

  • Are you saving changes after editing?
  • Do you have permission to edit the set?
  • Is the set assigned to your unit (for brigade users)?

Solution:

  • Verify your role (brigade admin or higher)
  • Ensure you’re acting as the correct unit
  • Check for any error messages
  • Contact super admin if issues persist

If inspection doesn’t update cylinder pressure or battery levels:

Possible Causes:

  • Template doesn’t include fields for pressure/battery
  • Field labels don’t match expected patterns
  • Inspection was saved as draft (not completed)
  • Inspection was for different equipment

Solution:

  • Ensure template includes number fields with “pressure” or “battery” in label
  • Complete the inspection (don’t leave as draft)
  • Verify you’re inspecting the correct BA set
  • Check inspection responses are being saved

If component status doesn’t match reality:

Fix:

  1. Navigate to the component
  2. Edit the component directly
  3. Correct the status and assignment
  4. Save changes
  5. Status will update immediately

Prevention:

  • Always edit BA sets rather than components directly
  • Use inspections to update components automatically
  • Regularly audit component assignments
  • Use consistent naming across all sets
  • Include location or unit identifier if helpful
  • Keep names short but descriptive
  • Number sets sequentially (BA Set 1, 2, 3…)
  • Build complete sets before assigning to appliances
  • Maintain adequate spare components for swaps
  • Match component types (cylinder pressure, backplate size)
  • Verify compatibility before assigning
  • Check cylinder pressure before shift starts
  • Monitor battery levels on electronic backplates
  • Address overdue inspections promptly
  • Keep at least one spare set per appliance
  • Rotate sets for even wear
  • Track component swap frequency
  • Schedule proactive maintenance
  • Budget for component replacements
  • Maintain relationships with testing facilities
  • Record reasons for component swaps in notes
  • Document any issues found during inspections
  • Keep component serial numbers updated
  • Maintain accurate assignment records
