How to Manage BA Sets
This guide explains how to create and manage BA (Breathing Apparatus) sets in StationOne.
Prerequisites
Section titled “Prerequisites”- Brigade admin or organisation admin role
- BA module enabled for your organisation
- Understanding of BA set components (cylinder, mask, backplate)
What is a BA Set?
Section titled “What is a BA Set?”A BA set is a complete breathing apparatus assembly consisting of:
- Cylinder: Compressed air cylinder
- Mask: Face mask with regulator
- Backplate: Harness and mounting system
BA sets are the primary unit for operational deployment, tracking, and inspection.
Creating a BA Set
Section titled “Creating a BA Set”1. Navigate to BA Sets
Section titled “1. Navigate to BA Sets”- Log in to StationOne
- Select your organisation and unit
- Click Breathing Apparatus in navigation
- Click BA Sets tab
- Click New BA Set button
2. Enter Set Details
Section titled “2. Enter Set Details”Fill in the basic information:
Set Name (required)
Section titled “Set Name (required)”- Unique identifier for the set
- Examples:
- “BA Set 1”
- “BA Set Alpha”
- “Mobile BA 3”
- Should be clear and easy to identify
Asset ID (optional)
Section titled “Asset ID (optional)”- Internal asset tracking number
- Matches your organisation’s asset numbering system
- Example: “BA-001”, “ASSET-BA-15”
Serial Number (optional)
Section titled “Serial Number (optional)”- Manufacturer’s serial number (if applicable)
- Some complete BA sets have an overall serial number
3. Assign Components
Section titled “3. Assign Components”Select the components that make up this BA set:
Cylinder Selection
Section titled “Cylinder Selection”- Click the Cylinder dropdown
- Select a cylinder from available inventory
- Only shows cylinders with status “Spare” or unassigned
- Once selected, cylinder status changes to “On Set”
Tips:
- Check cylinder current pressure before assignment
- Verify hydrostatic test due date
- Ensure cylinder is compatible with your equipment
Mask Selection
Section titled “Mask Selection”- Click the Mask dropdown
- Select a mask from available inventory
- Only shows masks with status “Spare” or unassigned
- Once selected, mask status changes to “On Set”
Tips:
- Match mask size to intended users
- Verify mask is clean and serviceable
- Check last inspection date
Backplate Selection
Section titled “Backplate Selection”- Click the Backplate dropdown
- Select a backplate from available inventory
- Only shows backplates with status “Spare” or unassigned
- Once selected, backplate status changes to “On Set”
Tips:
- Verify strap condition is good
- Check battery level if electronic backplate
- Ensure backplate size matches cylinder
4. Choose Assignment
Section titled “4. Choose Assignment”Select where this BA set is assigned:
Unit/Brigade Assignment
Section titled “Unit/Brigade Assignment”- Set belongs to a specific brigade
- Available for use by that unit
- Appears in unit inventory
Location Assignment
Section titled “Location Assignment”- Set stored at a specific location
- Repair facility, storage, or workshop
- Useful for sets undergoing maintenance
Appliance Assignment
Section titled “Appliance Assignment”- Set mounted on a specific vehicle
- Position 1, 2, 3, etc. on appliance
- Tracked with vehicle equipment
- Appears in vehicle inspections
Most Common: Assign to appliance positions for operational readiness.
5. Set Status
Section titled “5. Set Status”Choose the operational status:
- On Appliance: Mounted on a vehicle, ready for deployment
- Spare: Available backup set in inventory
- Away for Repair: Offsite for maintenance or testing
- Decommissioned: Retired from service
6. Save BA Set
Section titled “6. Save BA Set”- Review all selections
- Click Create BA Set
- Set is created and appears in inventory
- Component statuses automatically update
Editing a BA Set
Section titled “Editing a BA Set”Updating Set Details
Section titled “Updating Set Details”- Navigate to BA set
- Click Edit Set
- Update name, asset ID, or serial number
- Click Update BA Set
Changing Components
Section titled “Changing Components”You can swap out components at any time:
- Click Edit Set
- Select different cylinder/mask/backplate from dropdowns
- Save changes
What happens:
- Old component returns to “Spare” status
- New component changes to “On Set” status
- Component history is tracked
- Inspection history for both components is preserved
Common Reasons:
- Component failed inspection and needs replacement
- Cylinder pressure low, swapping to full cylinder
- Electronic backplate battery depleted
- Upgrading components
Moving BA Sets
Section titled “Moving BA Sets”Change where a set is assigned:
- Click Edit Set
- Change assignment type:
- Unit → Location (sending for maintenance)
- Spare → Appliance (deploying to vehicle)
- Appliance → Unit (removing from service)
- Select new unit/location/appliance
- Save changes
Changing Set Status
Section titled “Changing Set Status”Update operational status:
- Click Edit Set
- Select new status from dropdown
- Save changes
Status Changes:
- Spare → On Appliance: Deploying set to vehicle
- On Appliance → Away for Repair: Sending complete set for servicing
- Away for Repair → Spare: Set returned from maintenance
- Any → Decommissioned: Retiring set from service
Inspecting BA Sets
Section titled “Inspecting BA Sets”Creating a BA Inspection
Section titled “Creating a BA Inspection”- Navigate to BA set
- Click Conduct Inspection
- Select BA inspection template
- Work through inspection checklist
During Inspection:
- Template may include BA Set Selector to confirm which set
- Template may include BA Component Selector to verify components
- Enter cylinder pressure readings
- Enter battery levels (for electronic backplates)
- Document visual checks and function tests
- Capture photos of any issues
After Inspection:
- System automatically updates:
- Cylinder current pressure
- Backplate battery level
- Last inspection date for all components
- Component assignments (if changed during inspection)
- Failed items generate maintenance actions
- Inspection history is recorded
Inspection Scheduling
Section titled “Inspection Scheduling”Set up recurring BA set inspections:
- Navigate to BA set
- Click Schedules
- Click New Schedule
- Select BA inspection template
- Set frequency (daily, weekly, monthly, quarterly)
- Enable notifications if desired
- Save schedule
Recommended Frequencies:
- Daily/Pre-Shift: Quick operational checks
- Weekly: Detailed functional tests
- Monthly: Comprehensive maintenance inspection
- Quarterly: Full compliance inspection
Viewing Inspection History
Section titled “Viewing Inspection History”- Navigate to BA set
- Click Inspections tab
- View all inspections performed on this set
- Click any inspection to view details
- Review trends and recurring issues
BA Set Operations
Section titled “BA Set Operations”Recording Cylinder Fills
Section titled “Recording Cylinder Fills”When you fill the cylinder on a BA set:
- Navigate to BA set
- Find the assigned cylinder section
- Click Log Fill button on cylinder
- Enter fill details:
- Pressure after fill
- Fill method (cascade/direct/partial)
- Notes (optional)
- Save filling log
Effect:
- Cylinder current pressure updates
- Filling log recorded with date, time, and user
- BA set shows updated cylinder status
Quick Pressure Check
Section titled “Quick Pressure Check”View current cylinder pressure:
- Shown on BA set summary page
- Colour-coded indicator:
- Green: Full pressure (ready)
- Yellow: Partial pressure (needs attention)
- Red: Low pressure (requires filling)
- Click through to cylinder for full details
Battery Level Monitoring
Section titled “Battery Level Monitoring”For sets with electronic backplates:
- Current battery level displayed on set page
- Percentage indicator (0-100%)
- Low battery warnings
- Update via inspections or manual edit
- Plan battery replacements proactively
Component Swap Tracking
Section titled “Component Swap Tracking”View component change history:
- Navigate to BA set
- Click Component History tab
- See all component changes:
- When component was added
- When component was removed
- Who made the change
- Reason (if recorded)
Use Cases:
- Audit component movements
- Understand set configuration changes
- Track component reliability
- Plan maintenance schedules
Managing Multiple BA Sets
Section titled “Managing Multiple BA Sets”Set Overview
Section titled “Set Overview”View all BA sets at a glance:
- Navigate to BA Sets page
- See summary table with:
- Set name/number
- Current assignment
- Status
- Cylinder pressure
- Last inspection date
- Next inspection due
Filtering Sets
Section titled “Filtering Sets”Narrow down the list:
- Filter by status: Show only spare, on appliance, etc.
- Filter by unit: Sets belonging to specific brigade
- Filter by appliance: Sets on specific vehicles
- Search by name: Find specific set quickly
Sorting Sets
Section titled “Sorting Sets”Organize the list:
- Sort by set name (alphabetical)
- Sort by last inspection date (oldest first)
- Sort by status
- Sort by assignment
Bulk Operations
Section titled “Bulk Operations”For multiple sets:
- Select sets using checkboxes
- Choose bulk action:
- Schedule inspections
- Export data
- Generate reports
BA Set Reports
Section titled “BA Set Reports”Inventory Report
Section titled “Inventory Report”Generate set inventory:
- Navigate to BA Sets
- Click Reports
- Select Inventory Report
- Choose filters:
- All sets or filtered by status
- Include/exclude decommissioned
- Group by unit or appliance
- Generate report
- Export to PDF or CSV
Includes:
- Set identification
- Component details
- Current status
- Last inspection
- Location/assignment
Readiness Report
Section titled “Readiness Report”Check operational readiness:
- Click Reports → Readiness Report
- See which sets are ready for deployment:
- Cylinder pressure adequate
- Battery level adequate (if electronic)
- Inspections up to date
- No open maintenance actions
- Identify sets requiring attention
Inspection Compliance
Section titled “Inspection Compliance”Track inspection status:
- Click Reports → Inspection Compliance
- View:
- Sets with overdue inspections
- Sets due soon
- Sets up to date
- Inspection frequency analysis
- Plan inspection scheduling
Decommissioning a BA Set
Section titled “Decommissioning a BA Set”When retiring a set:
- Navigate to BA set
- Click Edit Set
- Set status to Decommissioned
- Optional: Add note explaining reason
- Save changes
What happens:
- Set removed from active inventory
- Components are unassigned (return to spare)
- Inspection schedules are deactivated
- History is preserved for records
- Set cannot be used but remains visible for audit
When to decommission:
- Set no longer meets standards
- Components obsolete or incompatible
- Brigade reducing BA inventory
- Set damaged beyond repair
Troubleshooting
Section titled “Troubleshooting”Component Not Appearing in Dropdown
Section titled “Component Not Appearing in Dropdown”If a cylinder/mask/backplate doesn’t appear when creating/editing a set:
Reason: Component is already assigned elsewhere
Solution:
- Navigate to that component
- Check its current assignment
- If on another set, edit that set to remove it
- If assigned to location/unit, edit to unassign
- Component will now appear in dropdown
Set Status Not Updating
Section titled “Set Status Not Updating”If set status doesn’t change as expected:
Check:
- Are you saving changes after editing?
- Do you have permission to edit the set?
- Is the set assigned to your unit (for brigade users)?
Solution:
- Verify your role (brigade admin or higher)
- Ensure you’re acting as the correct unit
- Check for any error messages
- Contact super admin if issues persist
Inspection Not Updating Component Data
Section titled “Inspection Not Updating Component Data”If inspection doesn’t update cylinder pressure or battery levels:
Possible Causes:
- Template doesn’t include fields for pressure/battery
- Field labels don’t match expected patterns
- Inspection was saved as draft (not completed)
- Inspection was for different equipment
Solution:
- Ensure template includes number fields with “pressure” or “battery” in label
- Complete the inspection (don’t leave as draft)
- Verify you’re inspecting the correct BA set
- Check inspection responses are being saved
Components Showing Wrong Status
Section titled “Components Showing Wrong Status”If component status doesn’t match reality:
Fix:
- Navigate to the component
- Edit the component directly
- Correct the status and assignment
- Save changes
- Status will update immediately
Prevention:
- Always edit BA sets rather than components directly
- Use inspections to update components automatically
- Regularly audit component assignments
Best Practices
Section titled “Best Practices”Set Naming
Section titled “Set Naming”- Use consistent naming across all sets
- Include location or unit identifier if helpful
- Keep names short but descriptive
- Number sets sequentially (BA Set 1, 2, 3…)
Component Assignment
Section titled “Component Assignment”- Build complete sets before assigning to appliances
- Maintain adequate spare components for swaps
- Match component types (cylinder pressure, backplate size)
- Verify compatibility before assigning
Operational Readiness
Section titled “Operational Readiness”- Check cylinder pressure before shift starts
- Monitor battery levels on electronic backplates
- Address overdue inspections promptly
- Keep at least one spare set per appliance
Maintenance Planning
Section titled “Maintenance Planning”- Rotate sets for even wear
- Track component swap frequency
- Schedule proactive maintenance
- Budget for component replacements
- Maintain relationships with testing facilities
Documentation
Section titled “Documentation”- Record reasons for component swaps in notes
- Document any issues found during inspections
- Keep component serial numbers updated
- Maintain accurate assignment records
