Create and Manage Deployments
A deployment is a single strike team / resource request — a set of vehicles and crew being sent to an incident or staging ground for a shift or roster of shifts. This guide covers creating a deployment, editing its details, and moving it through Draft → Ready for Deployment → Active → Completed.
Prerequisites
Section titled “Prerequisites”- Organisation admin, region admin, district admin, or group admin role (a “managing” role). Super admins can also create deployments.
- Brigade admins cannot create or edit deployments — they only interact with a deployment once one of their vehicles or members has been pulled onto it by a managing role. See Approve or Reject Crew Assignments. They can, however, get their vehicles crewed ahead of time — see Pre-Plan Standby Crews.
Create a Deployment
Section titled “Create a Deployment”1. Navigate to Crew Builder
Section titled “1. Navigate to Crew Builder”- Log in to StationOne
- Click Crew Builder in the main navigation, then Deployments — this opens the Deployments list
2. Start a New Deployment
Section titled “2. Start a New Deployment”Click New Deployment.
Fill in the deployment details:
Deployment Level (only shown if you manage more than one unit)
- Which unit is organising this deployment — e.g. the District or Group responsible
Deployment Number (required)
- Your own reference for this deployment, e.g.
ST0864
Resource Request Number (optional)
- The external RR number for this deployment, e.g.
RR-2024-001
Destination
- Where the crew is being sent, e.g.
Benalla Staging Ground
Departure Date / Time and Estimated Return
- When the deployment leaves and is expected back
Shift Type
- Day, Night, or Swing
Availability Types That Count for This Deployment (only shown if your organisation has availability types configured)
- Narrows who shows up in the “Available” group when you’re assigning crew later. Leave everything unchecked to use every type your organisation marks as “counts as available” (the default). Check specific types — for example, only “Available - Long Haul” — to hide members who are only marked available locally from a long-haul strike team.
Notes
- Any additional context for the crew or reviewers
Number of Vehicles
- Creates that many blank, untyped vehicle slots you can assign a type and a vehicle to afterwards. You can also add slots one at a time later — see Build Vehicles & Assign Crew.
Include lead vehicle slot (only shown if your organisation has a Lead Vehicle Type configured)
- Adds a slot for that appliance type, flagged as the Lead Vehicle. See Set the Lead Vehicle Type below.
Click Create Deployment. You’re taken to the deployment’s page, ready to add vehicles and crew.
Edit a Deployment
Section titled “Edit a Deployment”- Open the deployment
- Click Actions → Edit Details
- Update any field, or add more vehicle slots via Add Vehicle Slots
- Click Save Changes
Deployment Status
Section titled “Deployment Status”A deployment moves through these statuses:
| Status | Meaning |
|---|---|
| Draft | Being built — vehicles and crew can be requested, assigned, and reviewed |
| Ready for Deployment | Crewing is locked and fully approved, not yet rolling |
| Active | Underway |
| Completed | Finished |
| Cancelled | Called off |
Mark Ready for Deployment
Section titled “Mark Ready for Deployment”From Draft, click Mark Ready for Deployment. This button only becomes available once:
- At least one vehicle is attached to the deployment
- Every requested vehicle slot has been fulfilled (a vehicle attached to it)
- Every crew slot on those vehicles has been approved
Until then the button is disabled with a tooltip explaining what’s outstanding. See Build Vehicles & Assign Crew and Approve or Reject Crew Assignments for how to fill and approve slots.
Once marked ready, StationOne emails the deploying unit and every crewed member automatically. See Crew Builder Notifications.
Back to Draft / Activate
Section titled “Back to Draft / Activate”From Ready for Deployment, you can click Back to Draft to keep editing, or Activate to mark the deployment as underway.
Mark Completed
Section titled “Mark Completed”From Active, click Mark Completed once the deployment is finished.
Cancel a Deployment
Section titled “Cancel a Deployment”From Actions, click Cancel Deployment at any point before it’s completed. You’ll be asked to confirm.
Removing a Deployment You No Longer Need
Section titled “Removing a Deployment You No Longer Need”There’s no delete option in the deployment’s Actions menu — the supported way to remove a deployment from the active rotation is to Cancel it (see above). A cancelled deployment stays visible under the Cancelled tab for record-keeping.
Set the Lead Vehicle Type
Section titled “Set the Lead Vehicle Type”Organisation admins and super admins can configure a Lead Vehicle Type — an appliance type (e.g. a specific tanker class) that’s automatically offered as a slot whenever a new deployment is created.
- From the Deployments list, click Crew Builder Settings
- Choose a Lead Vehicle Type, or select None (disabled) to turn the feature off
- Click Save Settings
Once configured, new deployments show an Include lead vehicle slot checkbox, and any vehicle assigned to that slot is flagged Lead Vehicle throughout the deployment’s page and PDF exports.
Export or Email a Deployment
Section titled “Export or Email a Deployment”From the deployment’s Actions menu:
- Export PDF — downloads a PDF of the deployment’s vehicles and crew
- Email PDF — opens a dialog to send the PDF to a recipient email address, with an optional message
Common Issues
Section titled “Common Issues””Mark Ready for Deployment” is greyed out
Section titled “”Mark Ready for Deployment” is greyed out”All requested vehicle slots need a vehicle attached, and every crew slot on those vehicles needs to be Approved — not just filled. Check for any slot still showing Pending or Rejected on the deployment page.
A Ready for Deployment deployment dropped back to Draft on its own
Section titled “A Ready for Deployment deployment dropped back to Draft on its own”Someone changed a crew assignment, cleared a slot, or a rejection came in after it was marked ready. StationOne reverts the status automatically rather than letting an unapproved deployment stay “ready.” Re-check the crew slots and mark it ready again once everything is approved.
